St. Margaret’s House is a unique charity supporting community, good works, creativity and wellbeing in Bethnal Green.
We are looking for an Administrator to join our team!
The salary is £21,840 p.a for 35 hours/ week.
Facilities and user groups:
• Deal with all external room booking enquiries and schedule all room bookings
• Ensure users of facilities are given health and fire safety information including a tour of the premises where possible
• Ensure that rooms are adequately equipped for bookings i.e. Provide the required furniture and equipment
• Liaise with Gallery Cafe kitchen staff to organise catering for room bookings where required
• Maintain up-to-date records and contact details for all licensees and user groups
• Responsible for communication of updates and useful information to licensees and user groups
• Responsible for production of information leaflets for groups using facilities
• Record maintenance issues reported by users and staff members and maintain log to keep an accurate record of work required and work completed, prioritising jobs as necessary
• Liaise with maintenance contractors to schedule work
• Deal with queries regarding available office space
• Advertise available office space via social media streams, newsletter and website
• Schedule and facilitate move-in of new licensees including provision and completion of licence agreement
• Show prospective licensees around premises and answer all queries regarding use of St. Margaret’s House and licence agreements
• Ensure new licensees receive full induction information and welcome pack
Office Management and other:
• Oversee day to day running of front office including: dealing with enquiries by phone, email and face to face; distribution of post; handover of keys and record of keys
• Liaise with interns regarding their projects and progress to ensure they are in line with the aims of St. Margaret’s
• Implement and improve systems and procedures where necessary
• Liaise with I.T. Support and schedule all necessary work
• Provide general administrative support to the Director
• Update content of website to ensure all contact and other information is up to date
Finance:
• Produce and distribute invoices for monthly licence fees, room bookings and catering
• Carry out cafe banking twice weekly as well as banking for St. Margaret’s House whenever necessary
• Produce weekly summaries and reports for cafe
Human Resources :
• Advertise roles, work with the Communications Manager to shortlist and interview interns
• Maintain records of staff holiday and sick days
• Ensure new employees are provided with health and safety and fire safety information, staff handbook and other essential information upon commencing post
• Responsible for induction of new employees and interns who are to be based in the main office
