RECEPTIONIST / STUDIO COORDINATOR
Horden Cherry Lee Architects is looking for a friendly, professional and experienced Receptionist/Studio Coordinator to join the team as soon as possible.
The successful applicant will be based at our Mayfair, London office reporting to the Studio Manager. Duties will include but not limited to; managing the reception area, greeting visitors, answering and transferring calls in a professional manner, organising couriers, booking meeting rooms, assisting project teams and covering other office duties as required. Excellent spoken English and ‘can do’ attitude a must.
The suitable candidate must possess a proactive and confident approach, willing to take on various admin tasks and work well in a dynamic team environment.
Key responsibilities include:
Reception duties
• Meet and greet
• Key point of contact for visitors (pre-logging of visitors)
• Coordinate the office calendar
• Upkeep of meeting rooms, catering and meeting room bookings
• Handle inbound calls, take messages
• Organise couriers
• Receive, sign and distribute deliveries and daily incoming post
Administrative duties
• General upkeep of the office space and kitchen
• Monitor and order stationery, printing, kitchen and office supplies
• Manage and respond to all general info email enquiries
• Update contacts and marketing database
• Liaise with cleaners and rubbish collection
• Main point of contact for IT issues
• Organise staff social events and celebrations
• Store and label samples and materials
• Handle all petty cash and receipts
Project Management duties
• Create new project folders (project/image/mail server)
• File documents (appointment documents, client correspondence, etc)
• Admin tasks (typing minutes and agendas, letters)
• Draft appointment letters and fee proposals
• Arrange monthly archiving of project appointments and other required documents
Human Resources Duties
• Update personnel files and staff contracts
• Assist with staff benefits including childcare vouchers, cycle to work, pension
• Managing office systems including sickness and absence
• Employee relations and communications
• Coordinate staff training, CPDs and office Health and Safety
• Recruitment - gathering CVs, contacting candidates, recruitment adverts
• Carrying out new staff inductions
This position is available for an immediate start. Remuneration package based on experience.
