Responsible to: Projects and Business Development Managers.
Job Purpose: This is a vital position at the centre as the Receptionist / Administrator is key to both clients and staff. You will be responsible for supervising the reception and carrying out general office duties.
Responsibilities:
Main:

Work as part of the Reception team, where all members support each other and share the workload as necessary. The atmosphere in Reception should be helpful, professional, welcoming and friendly.
Answer the telephone within three rings in a pleasant and professional manner.
Transfer calls quickly to the appropriate person and take clear messages with all the relevant information if that person is not available.
Deal with all enquiries at reception and maintain a clean, tidy environment in the reception area; ensure leaflet racks are well stocked at all times.
Provide an efficient Reception service, often working on own initiative, carrying out administration duties to a high standard. Prioritising workload to meet deadlines requested by both staff and clients.
To ensure cover is provided in Reception at all required times.
Take delivery of stationery orders from suppliers, monthly stock take of stationery supplies.
Responsible for outgoing mail, posting and recording and incoming mail when required.
Responsible for processing deliveries, handling and distributing faxes.
To carry out other appropriate duties as requested by the Director or other senior staff.

Others:

High volumes of data input onto a database to track progress of learners, reviews etc.
Ensure all staff members are up to date with their paperwork; this involves daily chasing and monitoring.
Daily use of Excel - keeping spreadsheets up to date with relevant information.
Register learners with awarding bodies and order certificates on completion of the programme.
Induct all new staff members to Liral Veget Training's Administration processes and procedures.
Update weekly timetables with Assessor diaries.
Preparing new learner files.
Managing and ensuring Assessors attend standardisation meetings.
Answering queries from assessors regarding system information.
Dealing with certificate queries from learners and assessors.
Liaising with awarding bodies with regards to learners’ registrations, certification.
Liaising with IQAs with regards to scheduling EQA visits.
Scanning, copying and filing of documents as appropriate.
Supporting the Project and Business Development Managers when required.
Contact learners periodically as agreed for feedback purposes.
Carry out admin work for Liral Veget Care Agency.
Any other administrative and ad hoc duties as and when required.
