JOB SPECIFICATIONS
Search for files and research information using various systems, spreadsheets, and forms.
Pick up, process, and deliver files upon request.
Connect interfiling material and correspondence to its related file.
Deliver files to correct staging location and/or individual, as appropriate.
Perform mailroom tasks such as logging mail, preparing and verifying file manifests, preparing and shipping boxes of files, etc.
Properly handle classified mail (cleared mailroom staff only).
Create, properly organize, and label files. Maintain neatness and organization in the file room.
Photocopy or scan files or portions of files, to include Bate-stamping as required.
Maintain daily/weekly production sheet.
Take ownership of assigned tasks, tracking completion, and following up as needed.
Provide quality customer service.
Work independently and as a member of a team equally well.
If needed, approach management for help in prioritizing work to ensure all contractual deadlines are met.
Monitor and maintain shared email boxes, retrieve and determine if further action is required, and forward to appropriate personnel.
Complete all mandatory company and client site training.
Lead and/or participate in team meetings and team training sessions as needed to perform program related activities and other work tasks.
Draft team guidance and standard operating procedures for review by management.
Perform functions in support of program office day-to-day operations including but not limited to the tracking and managing of office supplies, and assisting with asset reporting.
Manage daily schedules through Microsoft Outlook.
Arrange meetings, including the preparation of agendas, obtaining background materials, and notifying and sending reminders to attendees.
Review files and other documents to obtain information to respond to requests.
Type, correspondence, reports, text and other written material from rough drafts or corrected copies.
Route correspondence to other departments for reply
Ability to understand and follow oral and written instruction.
Ability to use Microsoft Office (Word, Outlook, Excel)
Must follow established safety rules, maintain neat and clean work area, and operate all machinery and equipment in a safe manner.
Regular and punctual attendance is required. Must comply with company policies.
Maintain professionalism, and represent company in a positive manner.
Ability to get along well with others.
