Part time Office Administrator required for small software company based in London.
Job Description
Reception
• Covering reception and answering the telephone
• Managing all incoming and outgoing mail and deliveries
Office Management
• Manage day-to-day administration of the London office
• Liaising with the landlord’s management company regarding its security and maintenance
• Greeting visitors, providing refreshments
• Liaising with Cleaning company (ensuring the offices and kitchen are regularly cleaned)
• Ensure that adequate supplies of stationery and other consumables are maintained
• Management of all meeting spaces, including coordination of meeting room calendars and ensuring that rooms are kept clean and tidy throughout the day
• Ownership co-ordination and monitoring of office celebrations
• Other ad hoc duties as required/instructed by the Management
• Liaising with Milk company
• Booking hotels for staff
• Organizing social events
• Holidays and sickness monitoring
Book-keeping
• Raise Invoices, Purchase orders and enter suppliers bills into company’s accounting system
• Making payments
Marketing
• Assisting Marketing Team with Trade shows, printed materials, Trinkets
Health and Safety
• Maintain awareness of Health and Safety regulations in the office environment and ensure compliance where possible
What we're looking for:
• A confident individual with excellent communication skills, written and verbal
• A driven self-starter with the ability to work independently but not afraid ask questions or pro-actively seek help
• Proactive, someone who will see issues and build solutions without needing to be asked
• Excellent attention to detail
• Ability to remain calm under pressure
• Trustworthy and confidential
• Previous experience of office support (e.g Health and Safety knowledge) would be an advantage but not necessarily a requirement
• Punctual, with exceptional organisational skills
• Good work ethic
£11,700- £14,040 p.a for 3 days/week.
