Well established, independent estate agency with offices in London, seeking an Admin and Finance Support staff.

Job Description:
We are looking to recruit an Administrator, ideally with finance experience to join our busy team. Reporting to the Operations Manager, the potholder will be responsible for the administrative duties and the maintenance of financial records on the Companies administration systems.
Fluent English is a must. Second fluent language is preferred.
Proficiency with PC homes software is beneficial
Knowledge of a second language is beneficial
Financial Administrator - Reporting to the Manager
Duties will include but not limited to:
- General administration duties
- Dealing with face-to-face, phone and email conversations.
- Reconciliation and reporting of online payments, assisting with debtor reporting and monitoring and ensuring compliance with financial procedures across the organisation.
- Reference checks for potential tenants and arranging for Tenancy Agreements to be signed and renewed.
- Provide project support – including planning, preparing presentations.
- Prepare portal content and departmental communications as required.
- Secretariat support - departmental meetings, including minute taking and especially good at taking dictation and writing detailed emails and letters from main details only.
- Escalating any unsolved disputes directly to the Property Manager
- Ensuring all company policies and industry compliances are adhered.
- Managing, alerting and following maintenance issues, repairs, gas certificates etc.
- Liaising with all parties including service providers to arrange works needed.
- Administer the office budget processes and Support the administrative needs of other teams when required.
- Great relationship management with cross departments and staff.
- Process sales/purchase invoices and prepare and send invoices to tenants for rent, etc.
- Allocation of income payments and reporting all rental income and deposits and send reminder letters for late rent.
- Allocation of outgoing payments and reporting of all expenses
- Making payments and liaising with banks and financial institutions
- Credit controller duties; acquire payments and report
- Prepare documents for the quarterly VAT returns for the company

Possess knowledge using IT systems and database experience.
Have excellent interpersonal skills and a calm attitude to manage calls from landlords, tenants and service providers.
What you will need to succeed:
The successful candidate will be highly literate and numerate, have good attention to detail, and have an ability to learn new tasks and systems. S/he will be motivated, and able to communicate effectively both orally and in writing. S/he will have a good knowledge of spreadsheet, and preferably have experience in the use of financial ledger systems.
We’re looking for an Administrator to help us develop and deliver, supporting key projects and working with colleagues across the organisation.
An administrative background within estate agency or property management or transferable skills is preferred for this administration role, including the following:
A strong educational background, preferably NVQ/Diploma.
Strong administrative experience working in a busy environment.
Good communication skills.
Knowledge of Microsoft Outlook, Word, Power Point and Excel
experience of procurement would be helpful
Excellent attention to detail and the ability to prioritise effectively
Social media, live booking skills
Proactive and motivated to improve business processes
Pride yourself in your attention to detail
Happy to juggle a varied workload under pressure
Savvy with 100% in common sense and initiative
Ideally live within an easily commutable distance
