Administration Assistant events company
We are a small events company putting on 5-6 personal development conferences and workshops around Europe and selling online products. We're looking for a bi-lingual member of staff to help with online enquiries and administration.
Responsibilities
Answering phone calls and emails in French and English.
Managing book stock for events and also managing book stand at the events including stock control and inventory.
Booking hotels and liaising with them in respect to bookings for staff and customers.
Managing staff and events personal.
Overseeing the recruitment of new staff, sometimes including training and induction.
Compiling and organising paperwork related to events we put on and basic accounting.
Recording office expenditure and managing a small budget.
Invoicing clients
Managing a small team of volunteers
Assistance in PR and Promotion for events including press listings.
Preparing itineraries for oversea speakers and UK work permits if necessary.
General assistance in the running and administration of the business and promotion for the events including to be at the events.
Requirements
Fluent French, English essential at a written and spoken level.
Proficient in MS Office, Excel Word.
Excellent organisational skills.
Problem solving and common sense.
Ability to work alone and from one’s own initiative.
Good reading and writing skills as proof reading documents maybe required especially in English.
Team player.
experience in Word Press
Excellent communication skills with people, people person.
Full driving license preferred
Working hours
Working hours are usually 9am to 5pm and work at the events at weekends. Time off following weekend work will be given back and expenses for overseas work will be paid.
What to expect
The work may be stressful, since you will be dealing directly with customers.
Some travel during the day may be necessary.
Travel to other parts of the UK and Europe for our events will be essential. We hold 3-6 events per year and there is a lot of organisations that goes in to make them happen.
The position requires is a 5 day a week job working Monday to Friday.
