Reservations and Events Assistant – Central Reservations Team
Hours of work / Location:
Part-time and Full-time positions available, up to 45 hours 5 days out of 7, 7 day working week including evenings and weekends, based at the Central Reservations Office, The White Swan, Fetter Lane
CANDIDATE ATTRIBUTES
-Must be flexible to work shifts, evening and weekends
-Be able to work in a fast-paced, lively environment
-Must be pro-active, think on your feet and be organised when multi-tasking
-Enthusiastic and professional to complete the job to the highest standards
-Excellent communication skills and a very high command of spoken and written English
-Previous hospitality experience preferred and a bubbly personality is a must
-Enjoy working as a cohesive team
-A commercial understanding of the role and cross selling at all times to maximize every call/sale
RESERVATIONS / EVENTS
-Handle daily reservations via the phone efficiently and professionally.
-Ensure correct management of OT system, confirm all reservations daily
-Take event enquiries via the phone and enter onto Collins
-Pro-actively cross sell venues depending on availability as required
-Ensuring that all venues are maximising covers and tables are turned as far as possible
-Constantly working to improve guest experience
-Work across all venues in the group assisting event co-ordinators
Special attention must be paid to the following when taking reservations:
-Informing all guests of our ‘back by’ time when taking the reservation and during confirmation of the table.
-Making sure that customer codes and notes sections are being used properly on the Opentable system.
-Fill the late part of the evening sessions as best as possible when taking the reservations.
-Aim for two clear sittings in the busier sessions.
DATABASE
-Manage Open table and Collins reservations system and ensure correct information is entered into Opentable for all bookings (party and table reservations)
-Ensure that the customer database is up to date with exact email addresses and codes for each customer
