This is a fantastic opportunity to join a fast-growing company in an exciting space (social media software) and make your mark!We’re looking for an outgoing, dynamic Office Manager to take the reins of our Headquarters in North Finchley, London. We have around 30 employees and are growing fast!
We’re looking for someone who will ensure our HQ runs like a well-oiled machine and who:

- Is always looking for ways to improve how things are done
- Has excellent organisational, time management and prioritisation skills
Your Office Manager responsibilities will include:
Acting as the gatekeeper of our unique culture, keeping Sendible an efficient yet fun place to work by:
- Greeting and welcoming all guests and applicants as soon as they walk into HQ – making them feel well looked after and directing them to the appropriate person
- Ensuring the office is tidy, well organised and makes a good impression
- Receiving and distributing daily deliveries and screening incoming phone calls
- Assisting the social committee to achieve our cultural objectives with the planning of regular social events
- Maintaining our office playlist to ensure all musical tastes are catered for
Guaranteeing the HQ is the best stocked office in a 50-mile radius by:
- Managing and ordering of everything needed for the office including stationery and office supplies
- Keeping the hungry bellies of the Sendible team full with regular snacks, fruit and drink orders
Keeping our HQ lean and mean and always running like clockwork by:
- Liaising with building management, IT and all other suppliers
- Ensuring our health and safety policies are up to date and compliant and developing business continuity planning in cases of emergency
- Ensuring meeting run on schedule and meeting rooms are never double booked
Arranging flawless people logistics for the Sendible team by:
- Booking hotels for our remote employees when they are visiting London
- Assisting the marketing team with event logistics and trade shows
- Being a great listener and acting as a point of contact for any employees in the company to come to you with their concerns before approaching the CEO.
- Supporting the CEO with any logistic or administrative tasks he may have
Your Administration duties will include:
- Onboarding of all new joiners, including offer letters, contracts, references, induction and keeping appropriate departments informed.
- Managing Leaver processes ensuring that all relevant parties are notified, Leaver acknowledgement letters are sent and exit interviews are arranged.
- Administering benefits for employees, including liaising with benefit brokers and providers regarding scheme and membership changes.
- Responsible for the tracking and maintaining of holiday records and absence management.
- Maintenance of accurate Human Resources records.
- Taking minutes in meetings when asked to do so.
- Drafting contracts for the CEO and Sales Team.
- Reconciliation of invoices and payments to suppliers.
- Overseeing our billing/invoicing system to ensure customers are paying us on time.
You’re perfect for Sendible if.
- You have at least 2 years experience in an office manager role
- You have strong administration skills
- You have experience building a strong team culture and acting as a point of contact for all employee relations
- You are professional, diplomatic and confident with good social skills to be able deal with all levels of employees within the organisation
- You’re able to thrive in a high volume, fast paced, demanding environment
- You have excellent organisational and follow up skills
