• Extensive experience of all floristry makeup
• Firm understanding of pricing and value of flowers and plants
• A keen eye for detail and current floristry trends
• A confident user of Microsoft Office and excellent English
• Able to delegate work and clearly instruct team
• Responsible for hitting monthly / yearly targets and notifying directors on a weekly basis with events financial performance. To be proactive to increase Event and Wedding sales
• Good numerical skills
Job Description
Operations:
Working with the Wedding Manager, Planners, Brand Manager, Operations Manager and Head Florist, it will be your responsibility to manage enquiries and successfully project manage all confirmed Events and Weddings to ensure the designs are 100% perfect and are installed on schedule. Your responsibilities will include:
• Brainstorming ideas with Director, Managers and Event Planners
• Managing and attending site visits to evaluate job specifications
• Managing and attending Event and Bridal Consultations
• Ensuring commission payable is costed into where applicable
• Oversea quoting process including layout, design and costing
• Notify Operations manager and Head Florist of confirmed events and liaise re logistics of drivers and staff
• Calculate all the flowers required for each confirmed event (deducting commission when applicable) and purchase
• Hold team meetings in regards to upcoming jobs with detailed requirements well in advance of events including vases, flowers, accessories and transportation required
• With the support of our team of florists ensure that all events are made up and delivered on schedule
• In conjunction with the Operations Manager and Head Florist review if any additional staff/ Freelancers or installation or delivery support is required, to get confirmation from Director and manage all additional staff required.
• Ensure drivers/staff have correct security documentation and meet health and safety requirements
• Attend larger events and weddings as a supervisor, co-ordinate team and liaise with client
• Ensure client completes the sign off form prior to leaving the venue props and vases are returned to the studio and noting any lost or stolen, broken or damaged items. Ensuring the client is either charged or director notified of any losses.
• Provide feedback to Director and Monday morning meetings
Client Liaison:
In addition to managing the event operations as outlined above you will also be responsible for handling a number of clients directly. This role will grow year on year as the Events Director or other Directors will give you more clients to manage. You will be expected to build a relationship with each client and provide them with thorough quotations and order confirmations. This will involve:
• Oversea the allocation of clients/venues to the suitable events and wedding team members
• Discussing requirements direct with clients
• Oversea and provide thorough illustrated quotations and revisions prior to completing an order confirmation
• Oversea and notifying accounts of each confirmed booking ensuring team understands billing process for both events and weddings
• Ensuring all of your events and weddings meet your client’s expectations and are executed on schedule
• To maintain existing event relationships. Organise catch up meetings with large corporate clients and venues
• To build new relationships in the event and wedding industry, with planners, venues, corporate clients, catering industry and the luxury sector
• Network/Fairs to increase awareness of Hayford and Rhodes
• Review sponsorship events as and when and budget accordingly with guidance from the Directors acknowledgement agreement
Additional Responsibilities:
• Oversee and update the division on the website. Ensuring up to date event images and copy are updated on a regular basis. Responsible for chasing professional photographs after all high-end events for the website.
• To design floral displays for press and attend or oversee photo shoots
• Manage and oversee tenders with guidance from Directors
• Review Hayford and Rhodes competiveness within the industry and report back to directors on a regular basis
• Source interesting vases and event props
• Support other areas of the business when required
• Assist with maintenance of the studio to ensure it is a clean and safe working environment
Targets
The Events Manager is responsible for hitting monthly/annual targets which have been discussed with you for the year ahead. Realistic targets are only put into place and we need to ensure continuity in sales and growth in each sector. Any considerable loss of sales should be notified to director level and will be reviewed accordingly.
Hours, Overtime and Holiday
Monday to Friday (9am – 6pm)
Wedding and Event installations and going to market outside of normal working hours need to be notified with the operations manager and hours can be taken as and when you wish.
Saturday and Sunday (when large events require a manager on site) - Additional paid hourly rate will apply for all installations taking place on Saturday and double rate on Sundays.
Please note that only one member from the events and wedding team can take holiday at one time or less agreed with Director.
When such instances occur outside of normal working hours (i.e. Quotes and dealing with clients) it is part of your job role where you may require you to work additional hours, when the need arises. This flexibility is reflected in your position on the company pay scale.
