Job Title: Accounts Assistant
Rate of Pay: £12 per hour
Hours: Part Time – 12 hours per week over 2 or 3 days per week (flexible on days)
Responsibilities:
The Accounts Assistant will assist with various book keeping responsibilities using QuickBooks Online, Sales Force invoicing system and Redro purchasing system.
Specific responsibilities include:
• Ensure all purchases have a purchase order, that is appropriately authorised and input into QuickBooks
• Manage the transfer of purchase orders from Redro purchasing system into QuickBooks
• Maintain the Redro purchasing system ensuring all received orders are cleared from the system and all new POs are reflected in QuickBooks
• Follow up any differences from PO to invoice with approver and supplier
• Prepare sales invoices using Sales Force, ensuring the correct customer approval process has been followed on customer order interface
• Ensure all sales invoices are on QuickBooks and agrees with Sales Force
• Assist with customer credit control on a weekly basis
• Assist with credit card reconciliations and obtaining appropriate backup to ensure correct coding in QuickBooks
• Assist with staff expense claims, filing all backup and ensure correct coding in QuickBooks
• Opening post and sending to correct personnel
• Monitoring office supplies and ordering/purchasing supplies as required
• General administration and ad-hoc duties
Required experience
• 3 years experience in a similar role
• experience with QuickBooks or a similar cloud accounting software
• experience with credit control
• Training will be provided on Sales Force and Redro
• Meticulous with a real eye for detail
• Demonstrable IT skills including Excel, Word etc
• Intermediate Excel skills
• Excellent telephone manner for speaking with clien.
