Volunteer Receptionist Needed

We are looking for a confident and dynamic person be the first point of contact in our busy office in North London. The office is open from 9am – 9pm and you will be required to work a maximum of 16 hours per week on a Rota basis. Additional duties will be to assist in administrative tasks database management, etc. We provide maintenance, support, other services to third parties and we would like someone who is willing to learn our operations, assist with work scheduling and grow with our company. Your duties will include:
Answering the telephone in a professional and courteous manner
Updating clients, Taking messages from clients
Assisting to organising and schedule maintenance work within our client base
Assisting with keeping our database updated
Assisting with organising bills for payment, standing orders and direct debits
Assisting with preparing quotations and Invoices to customers
General Office Administrative duties
Correspond via email / phone to various companies
Setting up schedules and interviews
Filing and sorting
Informing the director of day to day activities or tasks via email
The successful applicant will have:
Outgoing and enthusiastic personality
Desire to succeed and grow within the organisation.
Able to use Microsoft Office e.g Word, Excel and Outlook
Have basic I.T skills and be able to perform data entry tasks
Work as part of a team and use also using their own initiative
Have a flexible approach to work and be reliable
Have Good communication skills
Able to answer the telephones and give the information to required person
Good time management
A background in a related field would be useful but is not essential but a desire to learn is a must. Training will be provided for the right candidate.
**Note**
As some of our clients is based in the same building you will be learning operations of their activities and will be fulfilling receptionist duties in their behalf as well.
