Volunteer Coordinator (Part Time) required
Salary: £24,000 - £26,000 (Pro-Rata) Per Annum (Inclusive of London Weighting), plus up to 5% contributory pension
CONTRACT: 12 Month’s Fixed Term
HOURS OF WORK: 21 Hours Per Week (3 days per week)

Age UK Westminster are looking to recruit a dynamic, skilled individual to take on our new Volunteer Coordinator position.
The Volunteer Coordinator will work on a part time basis, taking ownership of the organisation’s volunteer recruitment activities and overall volunteer management.
The coordinator’s primary focus will be expanding the organisation’s volunteer recruitment capacity and improving volunteer maintenance.
They will also be responsible for managing our older volunteering scheme, which provides accessible volunteering opportunities for older people in our local community.
We are seeking an individual with excellent interpersonal skills, who will make sure that our volunteers feel supported and valued within our organisation.
The ideal candidate will be a strong team player, and have previous experience of recruiting/managing volunteers and working with older people. They must be comfortable with processing volunteer applications, online DBS checks and delivering induction training.

FUNCTIONS OF THE POST
To take ownership of Age UK Westminster’s (AUKW) volunteer recruitment activities and overall volunteer management.
To focus on providing training and supervision, to improve volunteer retention and the efficiency/quality of the organisation’s volunteer led services.
To undertake special projects as agreed with the Chief Officer and Business and Community Development Manager and work with the team in support of AUKW activities.
RESPONSIBILITIES
Volunteer Recruitment and Retention
1. Recruitment and placement of volunteers to volunteer posts as identified and agreed by the organisation, teams and funding streams
2. Administration of volunteer positions, DBS checks, and recruitment process
3. Coordination, management, supervision and training of volunteers across the whole organisation (including reception, office, befriending, I and A and community fundraising volunteers).
4. Liaising with team members to facilitate volunteer placements and ensure volunteer retention
5. Relationship building with external agencies to enhance volunteer recruitment levels
6. Attending volunteer fairs, University fairs and Older People’s events.
7. Delivering talks in the local community to promote the organisation’s volunteer opportunities
8. Developing and implementing enhancements to volunteer recruitment processes including standard documents, processes and information.
9. Developing and expanding the organisation’s older volunteer program
10. Managing volunteer grievances in line with the organisational policies and procedures
11. Liaising with colleagues in respect of any volunteer issues
12. Liaising with colleagues, and/or managing of any issues arising from volunteers, about volunteers, or in relation to volunteering
13. Co-ordinating training and development opportunities for volunteers
14. Providing statistics, stories, case studies, statistics and information in relation to volunteers, volunteering and projects as requested by colleagues
15. Helping to recruit volunteers for large scale community fundraising opportunities, such as bucket collections, Gala dinners, sports events etc.
16. Organising quarterly volunteer meetings aimed at allowing volunteers to build connections with one another and provide feedback on their experiences.
17. Helping to organise a Christmas social event for volunteers
Project Co-ordination
14. Providing specialist support in the coordination and delivery of the organisation’s Befriending service
15. Management, coordination and delivery of volunteer led services in line with funding and funding requirements
Special Projects
17. Liaison with Business and Community Development manager regarding implementation of Charity Log Database to store volunteer information and to regularly update volunteer records.
General
18. Ensure all relevant administration and reporting is completed in a timely manner as required.
19. To behave in a professional manner to build good working relationships with colleagues and external agencies.
20. To support colleagues with the provision of information as requested for other functions within the organisation.
21. Implement the delivery of new standards as they arise.
22. Comply with and promote Equal Opportunities as specified by policies and procedures.
23. Report any maintenance or Health and Safety issues for further action as they arise.
24. Attend team meetings as required.
25. Undertake other duties that may from time to time be reasonably required.
Person Specification
The follow are considered essential to the role:
〈 At least one year’s experience of volunteer recruitment and management in a similar environment
〈 Ability to prioritise and manage workload in concert with Line Manager
〈 Ability to assimilate and understand information by listening, reading and use of the telephone.
〈 Ability to write legible and intelligible notes and records; to write letters and fill in forms; and to carry out basic calculations.
〈 Computer literate- must be confident with IT and digital administrative tasks
〈 Willing to work according to guidelines and standards and to take a flexible approach to work requirements.
〈 An open-minded approach to individuals, avoiding judgement and stereotyping.
〈 Ability to listen to others and to explain things clearly without jargon or being patronising.
〈 Strong written and verbal communication skills
〈 Comfortable with public speaking
〈 Knowledge or experience of the lives of older people and their carers in an inner-city multi-cultural environment.
〈 Ability to identify problems and solutions in meeting the needs of clients and colleagues.
〈 Awareness of discriminatory practices and equal opportunity issues; and a commitment to social justice and equity.
〈 Ability to work alone or as part of a team.
