Eastside Youth is a new youth work charity, that started in January 2022 and is based in East London aiming to change the lives of young people and has been set up in response to the massive and severe funding cuts and closures of youth services across East London, leaving young people with lack of services and feeling isolated in a time where young people already feel segregated from society with no real voice.
#YouthWorkChangesLives and at Eastside Youth we aim to facilitate that change by giving young people aged 11 to 19 years old based in East London the tools and skills to lead active and independent lives by providing interactive and engaging structured youth activities, training opportunities and support that will help improve their physical, mental, emotional, social and educational well-being.
We are looking for a volunteer to join us as our Secretary to the Board of Trustees at Eastside Youth, which currently meet monthly on a Monday evening between 6:30pm and 9pm. This also includes a few additional hours each month for sending out board papers and carrying out administrative board tasks and duties, etc.
As the Secretary you will be responsible for taking and typing minutes of meetings, drafting paperwork for Trustee meetings and sending out minutes and board papers to trustees in a timely manner, keeping records of all the Trustees work, minutes and decisions and supporting the Founder/CEO and the Chair in managing aspects of the Board of Trustees, including the work plan and the agenda of work, ensuring the Trustees are fully engaged and participating in their duties.
You will also ensure we are following good practice in terms of charity commission regulations, being the Secretary to the Trustees is a challenging but rewarding role and we need a Secretary who is productive, enthusiastic, approachable, friendly and solution focused, who is able to get things done on time and who can work well alone or within the wider board team. You must be able to manage your own time effectively, as well as your own workloads and those of the board to ensure a fully participative board, making Eastside Youth an amazing youth work charity for young people.
This role offers an amazing opportunity for someone interested in a youth work charity, board or senior management or a new charity where they will be able to add real value and have an input from the start, seeing how they can help grow a charity.
Duties Include:
1. Taking minutes at meetings, including typing them up and sending them to Trustees with other paperwork required in a timely manner to allow trustees to make proper informed decisions.
2. Ensure that the charity pursues its objects as defined in its governing document, charity law, company law and other relevant legislation/regulations.
3. To work in partnership with the Founder/CEO and the other Board of Trustees, helping Eastside Youth make positive impact in the local community.
4. Ensuring that all Trustees full participate on the board of trustees both during meetings and also outside of meetings.
5. To assist in fundraising and bid writing to ensure that Eastside Youth has all the needed funds and resources to carry out its services for young people.
6. Creating and using contacts and networks to help Eastside Youth grow and develop and to be an active ambassador for Eastside Youth.
7. To create and regularly update Eastside Youth policies and procedures, strategies, risk framework.
8. Other duties required and expected of a Secretary to the Board of Trustee.
Time Commitment and Work Location:
This role would ideally be approximately. 4-6 hours per month commitment (during evening and weekends), managed flexibly and with some remote/home based working.
