Main Duties
Front of House

Meeting and greeting clients, showing guests to meeting rooms and offering refreshments.
Answering and forwarding phone calls

PA/Office Admin

Diary management for the team (mainly the directors); arranging meetings and booking meeting rooms where appropriate.
Liaising with key suppliers
Arranging post
Arranging courier services
Making travel arrangements e.g. Booking train tickets, flights, and accommodation.
Monitoring and re-ordering any supplies for the building or office as necessary.
Liaising with the contractor or landlord with regard to any building issues.
Maintaining adequate and up to date records of building maintenance and repairs.


Assist with website and social media updates.
Creating templates and checking for correct branding on all documents.


First port of call for all IT issues, logging calls with external IT Support company where necessary.
Purchase and set up of all electronic devices (phones, iPads and laptops)
Liaison with printer company/IT Support in regards to any issues with printer.
Set up of 'IT suite' for new users; email address, profile, electronic devices, scans folder, signature etc.


Assisting with the processing of internal expenses.


Updating Quartz’s online database.
Maintaining Contact lists.


Organisation of in-house and external events.
RSVP on behalf of directors, and organising necessary travel and accommodation arrangements.
