Support Officer
My Client is a public health body located in East London and they are looking for an experienced Support Officer for a Part Time temporary role with a 2 month duration and possibility of extension.
The ideal candidate is some who is specifically looking for Part Time work. The hours will be 18.75 per week.
Key Responsibilities
Complete essential administration tasks and ensuring all documentation associated with the service improvement plan is up to date.
Capture and monitor issues, bringing them to the attention of senior staff as appropriate.
Ensure that work streams submit weekly progress reports.
Report deviations from plans by work streams to the service improvement plan management team and follow their direction to ensure that work is delivered to schedule and to specification.
Provide administrative support to individual work streams.
Ensure version control for documentation is maintained e.g. Business cases, specifications and project plans.
Work with the service improvement plan lead/management team to ensure that all management processes/tools including business cases, specifications, plans, and risk and issue logs are completed and kept up to date.
Ensure the momentum is sustained through continuous engagement and communication, following up of tasks, and prompt escalation of issues, risks and progress through the appropriate channels.
Diary management and support for the service improvement plan lead/management team.
Produce or contribute to a variety of high quality reports required for the successful management of the service improvement plan.
Contribute to the production of other materials to support the service improvement plan.
Minute taking for complex meetings
Co-ordination of travel arrangements
Provide excellent customer service, including responding to customer enquiries (via phone, email and in person)
Reports on adviser activity
Coordinating and supporting bi-monthly adviser development days, to include the preparation and distribution of materials, liaison with external suppliers and speakers, agenda planning and venue and hospitality arrangements.
Producing and collating presentation material (e.g. Power Point presentations) , spreadsheets and file notes and minutes of meetings.
Arranging and coordinating meetings, rooms and hospitality and greeting visitors to the office.
Arranging accommodation and organising travel arrangements and warrants.
Process adviser post, POs and expenses
Other duties as required
