Skilled Operations Administrator for Specialist Bakery

SKILLED OPERATIONS ADMINISTRATOR FOR SPECIALIST BAKERY
We are looking for an efficient, meticulous demonstrable administrator with operations or project management experience who has excellent English language skills (both spoken and written) and a good head for figures to provide support to the MD within this artisan bakery. This is a busy role, no day is the same and applicants are required to possess thorough attention to detail and a cool head whilst multi-tasking. If you like variety, want to be the right hand person for the MD, can demonstrate juggling different things at once as well as hit the ground running - this may be for you.
Whilst you will be working closely with the MD on operational, analysis and administration duties, this role also requires you to have confident communication skills with other key team members (production kitchen and retail staff) as well as with customers, suppliers and couriers on a daily basis. A background in food or a demonstrable zest for it is desirable tho not essential, however you will be based in a working (gluten free) bakery.
Work skills required: We are looking for someone who loves multi-tasking, is incredibly organised, a quick worker and calm under pressure, who adopts a questioning approach and can think on their feet as well as being pro-active - all essential to your success in the role and the smooth running of this established business. Attention to detail is a must – particularly in relation to customer orders and invoicing, analysing and inputting excel data.
Computer skills required: As above including sound knowledge and at ease using word processing and Excel spreadsheet manipulation including formulas. Prior knowledge of Quick Books Online (QBO) (or similar is desirable) but not essential as long as strong numeracy and spreadsheet skills, alongside basic accounting knowledge (of similar), are in evidence. Some experience of creating e-newsletters using Mailchimp is desirable but not essential.
Some essential tasks include:
a) monitoring emails to acknowledge swiftly trade and private customer orders and relay these promptly to kitchen staff; responding promptly to any queries they have relating to same
b) recording, invoicing and filing of orders
c) responsible for timely booking of collections for all customer orders, clear and timely liaison with Couriers and maintaining weekly delivery schedules;
d) monitoring and allocating payment via Excel, Word, Pay Pal and QBO; pro-actively issuing statements to trade customers and relaying late payment issues to MD;
e) liaison with all staff regarding weekly time sheets, analysing, recording for payroll company
f) Inputting stock inventory and sales achieved onto Excel spreadsheet and POS system on a daily basis
g) ordering supplies both on a regular basis and in response to requests from kitchen staff;
h) handling recruitment such as advert placement, application analysis to first stage, assisting MD in interviewing and handling related paperwork.
i) occasional visits to our stall at Borough Market and Trade customers to carry out market research or sampling
j) Assisting at trade shows and consumer events and additional business tasks as requested by the MD.
This is a full-time position (Monday to Friday) with a level of flexibility in terms of hours (40-45 pw), but requiring constant email and text vigilance and intensive activity at certain regular times of the week. You will come from a solid background either as senior administrator, operations or events person, shop manager, office manager in a busy retail/office environment, used to a varied role and multi-tasking. Food background is not essential but a keen interest in working on the brand is. The role is located within a working bakery.
Starting salary £25k plus benefits (pension, 28 days holidays, fruit and … cake!).
Location: SW11 5 QL.
