Our World Famous Brazilian Jiu-Jitsu Academy HQ is currently looking for a bright and enthusiastic individual to join our team as our Front Office Manager fulfilling receptionist and administrative duties. Our Family run Academy serves as third space for our students where they do not only learn martial arts but where they can be a part of a family and make friends. We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.
What does a Receptionist do?
As a Receptionist, you will be the first point of contact for our students and instructors. Our Receptionist’s duties include offering administrative support across the academy. You will welcome Students and greet people who visit the academy. You will also coordinate front-desk activities, including distributing correspondence and directing/answering phone calls. You will be responsible for daily credit cards and cash payments handling.
To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus.
Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Responsibilities
* Greet and welcome students/visitors as soon as they arrive at the Academy
* Providing accurate information to all new and current members
* Answer, screen and forward incoming phone calls
* Schedule Intro Classes and Private Classes
* Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. Pens, forms and brochures)
* Provide basic and accurate information in-person and via phone/email
* Receive, sort and distribute daily mail/deliveries
* Maintain office security by following safety procedures and controlling access via the reception desk (attendance cards, payments)
* Order front office supplies and keep inventory of all stock and merchandise.
* Update and manage students files and attendance cards
* Consolidate membership payments, manage direct debits
* Keep updated records of office expenses and costs
* Daily cash in and cash out payments handling and daily cash/payments/sales reports
Requirements
* Proven work experience as a Receptionist, Front Office Representative or similar role
* Proficiency in Microsoft Office Suite
* Hands-on experience with office equipment (e.g. Fax machines and printers)
* Professional attitude and appearance
* Solid written English and verbal communication skills (Knowledge of Portuguese is a big plus)
* Ability to be resourceful and proactive when issues arise
* Excellent organizational skills
* Multitasking and time-management skills, with the ability to prioritize tasks
* Customer service attitude
* High school degree; additional certification in Office Management is a plus
