JOB TITLE: Dental Receptionist (5 days/week, full-time)
REPORTING TO: Practice Principal and Head Nurse
Summary:
We need a receptionist to support our busy dental practice. We are a private practice, established for over 20 years and situated by Ravenscourt Park in West London.
You would be the first person most people will see or talk to and ideally you are a positive, cheerful and friendly person, who works calmly and efficiently.
Cheerfulness whilst Multi-tasking is an essential skill!
Your main duties would come under the umbrella of greeting and assisting patients (phone calls, handling all aspects of appointments, dealing with all queries) in a calm, efficient and cheerful manner as well as providing general assistance to the practice team.
You will be given full training in how the practice reception works, and will have the support of the team whilst you are learning the ropes.
Person Specification
Positive, cheerful personality and attitude;
Calm and efficient approach to organising your work and completing tasks in a timely manner, demonstrating good time management skills;
Diplomacy, tact and skill at handling all sorts of queries;
Confident and able to deal with people from all walks of life with respect and courtesy;
A friendly telephone manner, helpful and making patients feel confident and informed;
Willing to learn new things;
Attention to detail and the ability to carry out duties correctly;
Initiative in getting things done;
A team player.
Skill Set
Strong IT skills
Excellent communication skills, a high standard of both written and spoken English
Typing speed of 60 wpm (minimum)
At least 1 year’s experience of working in a medical/dental environment either on Reception/Bookings or Call handling.
Strong admin skills, filing, logging enquiries, keep database up to date etc
An understanding and experience in maintaining patient confidentiality
An understanding and experience of Health and Safety procedures
Relevant Customer service experience
Job Role and Responsibilities:

• Getting the practice open and ready for business each day – the sights, sounds and smells – and tidying up at the end of the day;
• Managing a busy reception desk efficiently, prioritising when appropriate and delivering a first class customer service experience;
• Making, re-scheduling and advising patients on appointments;
• Dealing appropriately and professionally with all email, telephone and visitor enquiries;
Maintaining the filing system for patient records, logging all referrals on the system and keeping patient details up to date;
• Typing reports and correspondence;
Taking Payments accurately and logging all payments on the system.
Other Admin duties as requested by the manager as well as general practice admin such as photocopying, scanning, faxing, printing and sorting/filing/sending forms.
• Keeping the reception and waiting area tidy, clean and welcoming at all times.
• Work to the regulatory standards and follow practice systems.
You will also need to either have had the Hepatitis B vaccine or be happy to proceed with the vaccine.
