We are looking for a reliable Full Time Office Administrator in a multi functional health clinic. Beauty, Natural Medicine and Sports Injury Clinic.
They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.
The tasks of the office administrator will include.
Patient bookings (electronic and manual), training provided.
Front desk presence, welcoming clients saying hello with a happy outlook.
Data entry (patient details and adding/logging funds to patient accounts)
Filing
Email
Phone answering
Supporting reception office assistants.
Credit contracts (training supplied)
Monitoring and inputting expenses (xero app, training provided)
The ideal candidate will be competent in prioritizing and working with little supervision.
They will be self-motivated and trustworthy all training will be provided.
The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth.
Coordinate office activities and operations to secure efficiency and compliance to company policies.
Supervise administrative staff and divide responsibilities to ensure performance.
Play a positive role in the clinical ethos and image.
Operate marketing protocols on a monthly basis (monthly training provided)
Manage agendas/appointments and data entry (patient details) etc. For the upper management.
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping procedures - input payment received and doing end of day tallies.
Create and update records and databases with personnel, financial and other data.
Track stocks of office supplies and place orders when necessary.
Submit timely reports and prepare presentations/proposals as assigned.
Assist colleagues whenever necessary
Requirements
Confidence in managing detailed information (numbers, names) while also being productive.
Outstanding communication and interpersonal abilities.
Excellent organizational and leadership skills.
Familiarity with office management procedures and basic accounting principles.
Excellent knowledge of MS Office
High school diploma; GCSE’s or equivalent.
The role would require extra hours over the summer with these hours likely to reduce after the summer holidays due to cover need when staff are away.
Can choose a four day 40 hour week if Preferred.
