Professional Office Lettings Progressor

Recognized as one of the Top Places to Work, London Property Guru is currently seeking an Administration Progressor to join our established professional estate Agency based in Wimbledon.
The Administrative Assistant will perform general administrative duties in support of our lettings team. You need to be comfortable and confident with making phone calls, booking appointments, and speaking with everyone! Attention to detail is also crucial as you will be preparing contracts for Landlords and Tenants to sign and making sure references are fully completed correctly. This role is best suited for those candidates with exceptional MSWord skills combined with strong systems proficiency and an enthusiasm for customer service. We are looking for somebody who is eager to work hard and learn about the industry with a 'can do' attitude.
This will be a full-time permanent position, offering a salary between £17000 - £25000 pa dependent on experience.
Candidate Requirements:
- experience of working within an Administrator position, ideally from a Property, Estate Agency background
- Ability to communicate effectively at all levels via telephone, e-mail and in person
- Excellent attention to detail and high levels of accuracy
- Ability to learn quickly and to be flexible in a dynamic and challenging environment
- Ability to work effectively under pressure and to strict deadlines with the minimum of supervision
- Ability to work on own initiative with a hardworking, highly motivated and pro-active attitude
- Must live within 5 miles of SW19
Your main responsibilities:
- Handling the move in process, ensuring the Landlord and potential Tenants are kept up to date throughout and the whole process goes smoothly
- Welcoming all clients/Landlords with a friendly attitude and assisting with any help they need
- Act as the first point of contact in the absence of the professional staff, updating clients accordingly.
- Manage client’s calls, emails and associated administration for the Team whilst they are on viewings
- Have good attention to detail when writing descriptions of properties and making them live
- Assist with the maintenance of files, and organising computer based files
- Managing departmental diaries to ensure professional staff are aware of commitments and deadlines
- Booking appointments
- Canvassing
- General administrative duties including photocopying, faxes, processing incoming and outgoing mail
- Taking deliveries
- Catching renewals on time
- Inspections on properties and drawing up reports
- Organizing check ins and check outs for properties
- Making sure all maintenance issues for managed properties are resolved and Landlords are kept updated
This position is mainly working with the Lettings department. You will be responsible for booking appointments, and calling prospective new clients, so that the team can spend their time outside of the office bringing in new business.
