Eastside Youth is a new youth work charity, that started in January 2022 and is based in East London aiming to change the lives of young people and has been set up in response to the massive and severe funding cuts and closures of youth services across East London, leaving young people with lack of services and feeling isolated in a time where young people already feel segregated from society with no real voice.
#YouthWorkChangesLives and at Eastside Youth we aim to facilitate that change by giving young people aged 11 to 19 years old based in East London the tools and skills to lead active and independent lives by providing interactive and engaging structured youth activities, training opportunities and support that will help improve their physical, mental, emotional, social and educational well-being.
We are looking for a volunteer to join us as the Personal/Executive Assistant to the CEO and Office Manager at Eastside Youth. This role is flexible and is suited to fit around your personal/work life (including evenings and weekends in line with our core service hours).
As the Personal/Executive Assistant and Office Manager you will be assisting our CEO supporting him in a variety of tasks to support him to carry our his role effectively, as well as carrying out office management duties to ensure a smooth and effectively run charity.
This also includes supporting the Board of Trustees with administrative tasks such as taking minutes of meetings, typing minutes, drafting paperwork for meetings and sending out minutes and board papers to trustees in a timely manner.
We need a Personal/Executive Assistant and Office Manager who is very productive, enthusiastic, approachable, friendly and solution focused, who is able to get things done on time and who can work well alone or within the wider board team. You must be able to manage your own time and workload effectively, and also supporting the CEO to manage his time and work load is his varied duties and responsibilities.
This role offers an amazing opportunity for someone interested in a youth work charity, personal assistant/office management, senior management or a new charity where they will be able to add real value and have an input from the start, seeing how you can help grow a charity.
Duties Include:
1. Providing assistance and support to the CEO in his duties and responsibilities.
2. Managing the office, ensuring a smoothly and effectively run office.
3. Assisting the Board of Trustees with administrative duties such as taking minutes at meetings, including typing them up and sending them to Trustees with other paperwork required in a timely manner to allow trustees to make proper informed decisions.
4. Managing the CEO's diary, work schedule etc, to ensure the effective use of the CEO's time.
5. Creating and using contacts and networks to help Eastside Youth grow and develop and to be an active ambassador for Eastside Youth.
6. Other duties required and expected of a PA/Office Manager.
Time Commitment and Work Location:
This role would ideally be approximately. 6-8 hours per week commitment (flexible including during evening and weekends), managed flexibly and with some remote/home based working.
