Peabody has an exciting opportunity for a Personal Assistant to join our team in London. The successful applicant will join us on a full time, fixed term basis and will receive a salary of £30,000 - £36,000 per annum.
Peabody and Family Mosaic have merged, creating a new housing association providing 55,000 homes to 111,000 people across London and the South East. Our combined scale and strong focus on London will uniquely position us to revolutionise housing delivery and redefine best practice – and you will be central to making it happen.
This Personal Assistant position is an exciting opportunity to work with and support the Executive Director Finance and assist her colleague, the Director of Finance (Regeneration, Development and Commercial) on projects including development and Thamesmead projects where they work closely together. This Personal Assistant role is within finance and governance and you will have direct contact with our board/committee members and key external stakeholders.
This is a 1 year Fixed Term Contract.
Duties of the ideal Personal Assistant:
- To manage complex correspondence on behalf of the Executive Director and Leadership team, including ensuring that e-mails, post and telephone calls are dealt with in a timely and effective manner, cascading and escalating where required within the function.
- To co-ordinate and schedule meetings ensuring efficient and effective diary management and the preparation and dissemination of supporting materials. To ensure all aspects of meetings/conferences are organised, agendas developed and prompt action taken maintaining timely responses to deadlines at all times. To attend and minute meetings as required.
- To assist in the production of Board and Committee reports and proof-reading. To support the Executive Director with Committees for which they are the lead executive officer
- To build effective partnership relationships with senior management, team members, customers, key stakeholders and the wider PA team.
- To create, manage and maintain office systems to ensure they are fit for purpose and relevant to specified department.
- To assist with budget management and take responsibility for monitoring of income and expenditure, processing and coding of invoices and expenses.
- To support project work as required and contribute to the effective running of the wider PA team.
- To operate and maintain business support systems in line with Peabody policies and procedures.
