Passion Digital is a busy, independent digital marketing agency based in Clapham, London. Our newly enlarged office is an integral part of our culture, and a key element of the experience that we want our clients to receive when they partner with us. As such, we are now recruiting for an Office Manager to ensure our working environment is nothing short of 5 star!
In addition to office management responsibilities, this role will assist the Senior Management team (SMT) in elements of our Talent plan – specifically pipelining potential candidates, and co-ordinating interviews.
Responsibilities
• Front of house – welcoming visitors, clients, suppliers.
• Answering the phone, screening and directing calls efficiently.
• Office admin and supplies (stationary, food, drink, toiletries). Replenish as required.
• Office upkeep – directing cleaners to maintain 5-star level of cleanliness at all times. Addressing any issues with this.
• Constant review of office environment to ensure it is at the appropriate level of upkeep (including fixtures and fittings). Liaising with relevant suppliers to address any issues (maintenance of windows as an example).
• Clearly communicating standards and personal responsibilities for the office environment to the team, ensuring collective responsibility is taken for the workspace.
• Proactive stakeholder management – keeping the team informed of actions, initiatives to improve office, SMT informed of progress with individual tasks.
• Meeting room standards, refreshments for client meetings (drinks/sandwiches etc).
• Booking travel, processing expenses and other ancillary admin tasks.
• Assistance with event organisation.
• Helping with basic IT tasks – installing office, updates and maintenance
• Helping with on-boarding new staff – setting up on all tools
Talent Management
• Sourcing, pipelining and vetting new potential team members
• Co-ordinating diaries and booking interviews
• Scheduling events – training and development, appraisal meetings
• Running office diary/Shared calendar/ Holiday management/awards calendar
• Reporting on time/resource levels
