We are looking for an experience Office Manager to manage the day to day running of our busy London Office near Bank station. SALARY£30,000 per annum rising to £32,500 after 6 months. THE CHALLENGEWe are looking for someone who is ready to make a significant contribution to the success of the branch through teamwork and support of colleagues throughout the sales, operations and support functions. The right person for the job will be able to keep regular contact with the various Team Leaders and Operations Managers, Business Services at the company head office and various other back office departments. Timely and professional contact with Clients, Contractors and Applicants will be essential. KEY RESPONSIBILITIES and DUTIESReception Duties Professionally answering of incoming telephone calls within three-ring period. Providing a warm and friendly welcome for all visitors to site, offer refreshments and informing relevant staff on arrival. Maintain reception area with up to-date literature and magazines. Control of incoming/outgoing post. Opening of mail and distribute accordingly. Payroll Duties Sending of timesheets to Contractors / Clients Collate timesheets returned for previous week. Input / scan hours into Timesheet Management system. Verify incomplete timesheets, liaise with Consultants for correct rates, overtime payments and general queries. Liaise with Consultants on missing timesheets for chasing. Check payroll before transmission to Head Office, amend any errors. Sending timesheets to Head Office Ensuring all relevant tax, insurance documentation is completed and that all information received by the DSS is correct. Management Support Duties Provide statistical information as requested by line manager. Consultant Support Duties Sending out application packs on behalf of Consultants. Inputting of returned application packs onto system, chasing non-returned applications. Ensuring all legal documentation is copied and retained on file, along with all relevant certificates and competencies as required by Clients, Health and Safety and Employment Law Legislation. Maintenance of applicant database, archiving of Contractors as requested, request of P45 to payroll. Sending out of references / appraisals for Contractors and chasing non-returned references. Logging returns against Contractors on system. Sending out of Staff Assessments and Service Evaluations, logging returns direct on to system, informing Consultants of comments. Setting up and maintaining of filing systems for Contractors and Clients. Scanning and logging of Curriculum Vitae's on to system once skill coded by Consultant. Sending of standard and bespoke letters to Contractors, Clients and Internal staff on behalf of Manager and Consultants. Where appropriate, assist in the contacting of Contractors to verify availability to work and booking / confirming job details. Logging of Terms and Conditions of Business sent to Clients by date on system. Quality/Audit Duties Maintain all required procedures as instructed by Quality Manual and external Clients / Governing Bodies. Chase missing Audit information as detailed in the weekly Business Service Audit Report. Regular Auditing of Contractors, following both system and paper trails to confirm minimum standards met. Regular Auditing of Clients to ensure minimum standards met. Regular Auditing of Client Job Bookings to ensure minimum standards met Liaising with Manager on results and high lighting Quality training issues. Branch Support Duties Maintaining sufficient stocks of stationary items as required by location, ordering of stock as required. Maintaining sufficient stocks of Marketing / Promotional Literature and items as required by location, ordering of stock as required. General housekeeping duties to maintain supply of tea / coffee / milk / sugar / Washing Up Liquid and Dishwasher Tablets Preparing / photo copying of Contractor packs and associated forms.To attend all relevant training courses as required, residential or otherwise to improve both personal and branch/location performance. ESSENTIAL SKILLSExcellent communication skills, both verbally and written. Excellent telephone manner. Working competency with Microsoft Office (word, excel and powerpoint in particular)Keyboard literate. Ability to respond well to pressure; work to tight deadlines with the flexibility of hours in order to achieve agreed role objectives. Ability to recognise and resolve problems. Ability to demonstrate compliance with company policies and procedures. Excellent organiser. Excellent presentation skills. Excellent time management skills. DESIRABLE QUALITIESKnowledge of Lotus Notes. Able to work in a high pressurised environment. Academically qualified to degree standard or equivalent.
