Black Sea Estates are on the lookout for a creative, organised and enthusiastic office coordinator to join our well-established boutique estate agency in Kensington/Notting Hill Gate.
Responsibilities
- Meeting and greeting clients and visitors to the office in a friendly and professional way
- Answering phone calls promptly in a polite clear manner; take accurate messages and/or put through to the appropriate individual.
- Sourcing and overseeing photography, floor plans, EPC, etc; downloading properties onto the database and launch them on advertising platforms
- Creating property files, brochures, window cards and other marketing material; updating details regularly
- Organising tenancies paperwork and filing
- Coordinating move for rental properties and assisting landlord with managing issues
- Overseeing canvassing and mail shot campaigns; manage social media
- Organising meetings and viewings as required
- Provide secretarial and admin support to other team members, including audio/copy typing, mail merges, mail shots, franking, archiving, accurate data entry on database, external print work, photocopying, filing, starting up and keeping property files in order and up to date, etc. Including ensuring files
- Proof reading documentation
experience and Personal Skills Profile
- Web/email/social media literate
- Word/Excel/Power Point literate
- Strong secretarial/administration skills
- Literate and numerate
- Really good written English and grammar
- Organised, flexible and hands on
- Creative, confident, pro-active, professional, helpful
- Self-motivated and able to work to deadlines
- Able to work individually and as part of the team
- Clear confident speaking voice, cheerful personality and a good sense of humour
- Ability to communicate with others at all levels in polite, professional, friendly and helpful manner, both face to face and on the telephone
- experience in a similar receptionist and secretarial role is imperative
The initial basic salary package for this role will be dependent on experience. Bonus structure is available based on target earnings and performance.
The hours of work will be from 9.30am to 6pm, Monday to Friday.
