Office Coordinator Job in London

Bluefin, the Mindtree SAP practice, is looking to appoint an Office Coordinator to cover the operational needs of our office.
Duties and Responsibilities:

Overseeing the operations side of the business and be the first point of contact for all operations queries.
Co-ordination of all office related facilities and logistics.
Management of the Chiswick Reception Area:

First point of contact for visitors
Telephone Switchboard (including management of online phone management system and upkeep of central contact card system)
In and outgoing postage and couriering
Security (including management of periodic main office and server room door entry code updates and Chiswick Park swipe card system)

Liaise with suppliers including regular cost reviews and negotiations such as mobile phone supplier, insurance, cleaning company etc.
Liaison with facilities team of the wider Chiswick Business Park.

Attendance of monthly meetings
Daily Parking List

Ownership of Health and Safety

Management of PAT, Emergency Lighting and water testing, risk assessments, ensure fire warden and first aiders are in place.

Liaise with Finance and Line Manager on Operations Budget.
Manage the set-up of leadership team meetings, company meetings and company events.
Producing presentation slides and information for management meetings, as well as coordinating all information for bi-weekly leadership team meetings.
Opportunity to develop in the role and support our leadership team with PA duties such as diary management, travel arrangements etc.

Skills and experience:

Office Coordination experience
Strong administrative skills
Exposure to a commercial organisation
Advanced MS Word, Excel, Power Point skills.
Some diary management is desirable

An articulate strong communicator both in verbal and written communication with internal and external stakeholders – this role will need someone who can forge strong relationships very quickly across the board for both Bluefin and our parent company, Mindtree.
Highly organised and able to manage multiple tasks simultaneously.
Professional, with the ability to quickly adapt to our culture and ways of working.
Have a good sense of judgement and ability to work independently.
Problem solving and provide ideas of improving ways of working.
Must be discreet and act in a confidential manner.
Proactive and can do attitude.
Approachable and remain calm under pressure.
Confident in dealing with senior stakeholders.
