The role will report into our e-commerce Manager, and as we expand their will be scope for career development. As we are preparing to go global foreign languages may be an advantage.
This is a full-time position however, part-time may be considered for the outstanding candidate. The pace of career development will depend on your ability and performance. Our company is doubling in size annually.

The role
You will be responsible for working with the Managing Director and managing a small but growing team of admin support staff and supply partners. You will need to be an open, honest and highly personable individual who is motivated by developing new administration processes and robust systems to improve performance. You will also need to work alongside our sales team to develop concise product knowledge.
Skills and experience
You will be an excellent communicator, well-spoken and passionate and well-informed about effective administration practises, processes and procedures. It’s necessary that you will have worked in office administration for at least 5 years. High pedigree experience is not essential though you MUST demonstrate at least a 2.1 recognised degree in a relevant discipline.
Essential Minimum Required Qualities are:
Reporting to the Managing Director and working alongside our Finance Manager, UK and USA Sales Support Managers you will be responsible for ensuring the smooth running of the office, back office and fulfilment / supplier partners.
The role will involve:

Supervision of the processing of incoming orders and sending out sales invoices.
Processing supplier invoices and scheduling for payment.
Chasing of outstanding client invoices. We have never had a bad debt.
Sales support and client services including order changes, delivery changes, processing complaints, returns and collections under a clear protocol. (We have very view complaints – but we have a “best in class” policy to all customer complaints)

Requirements:

Extensive operations and administration experience.
Excellent project management and organisational skills. Action planning to improve effectiveness of all admin, support processes and staff functions.
Immaculate attention to detail and demonstrable ability to think fast on your feet. Ability to perform calmly and effectively under pressure.
Concise and clear communicator
Proactive attitude to learning new skills and processes.

Excellent command of English language both written and verbal.
Foreign languages may be a major advantage.

Prior knowledge and extensive experience of cloud operating systems (ZOHO useful but not essential)
Enjoy working independently, being flexible and adaptable.

Full computer literacy including the ability to write clearly and Excel spreadsheets. Highly proficient in the use of Microsoft Office.

Confident, social, physically active with a good sense of humour.

Remuneration
Up to £25,000 per annum + Bonus + Share Options (after 4 years)
The salary will be reviewed after 6 months.
