Office Administrator Apprentice Vacancy

This is an opportunity for a highly motivated individual to join a small Family Office in the role of General Assistant/Family Concierge. This role supports the whole team and is instrumental in ensuring that the office administration and support functions run smoothly and efficiently.
Family office performing centralised management or oversight of investments, tax planning, estate planning, and philanthropic planning.
Entry requirements:
1. Three A-Levels at grades A*-C (or 240 UCAS points) are preferred.
2. GCSE Mathematics grade C-A* (or 5-9).
3. GCSE English (Literature or Language) grade C- A* (or 5-9)
4. You will also have good knowledge of IT including all Microsoft packages and Google doc/sheets.
Ideally, we are looking for recent school leavers and non-graduates for the role.
This is an advanced level 3 Business Administrator apprenticeship, qualification and training delivered by White Hat.
Location: nearest stations are Edgware Road and Marylebone underground, London
Core tasks include the following:
Office Support:
1. Meeting and greeting high-level visitors appropriately (taking coats and making drinks as requested)
2. Maintaining the tidiness and overall appearance of the offices and Boardroom
3. Compiling address spreadsheets and making address labels (for mail merging)
4. Back-up for reception when required:
5. Taking calls and transferring to relevant staff members
6. Dealing with Boardroom bookings
7. Dealing with all deliveries
8. Back-up for PA and/or Office Manager
Family Concierge
1. Family Travel (liaising with PA):
2. Arranging (sometimes complex) travel
3.Organising visa applications and passport renewals as required
4. Arranging itineraries for trips
5. Family Events (liaising with PA/Office Manager)
6. Annual Christmas card mailing to a database of over 2000 contacts
7. Inputting all contacts and keeping them updated
8. Assisting with Post and return correspondence
9. Updating diary/calendar as directed
10. Miscellaneous assistance as needed by the Family, CEO and Office Manager
Hours are: 9am-6pm, Mon-Fri.
The experience and core competencies/skills required for this post will include:
1. experience in an Admin/Secretary/PA capacity
2. Excellent written and oral communication skills
3. Ability to manage and prioritise a varied workload and meet deadlines with minimum supervision
4. High levels of accuracy and attention to detail
5. High levels of flexibility and initiative
Personal qualities:
1. Ability to anticipate problems and mitigate them before they arise
2. Proficiency with Microsoft packages particularly Outlook, Excel, Word
3. Proactive and flexible
4. Utmost discretion.
