Membership Education Secretary Days Week

Job purpose
The Membership/Education Secretary deals with the day to day registration of members and the annual membership renewal process at the beginning of each year. The role involves inputting and submitting these registrations/renewals via the database (Access) and filing. They will be the key link between the charity and its members. They are also to organise and promote various ways of increasing membership numbers. The person needs to be flexible, accurate and can work to deadlines.
Duties and responsibilities
• Keeping a record of members contact details and the fee(s) they have paid
• Issuing member confirmation letters and certificates
• Answering member enquiries promptly and professionally by email and telephone
• Processing membership payments (received by email, phone and website)
• Sort and distribute incoming mail
• Administering the annual renewal of subscriptions, providing reminders to members when it is time to renew their subscription(s) and raising invoices if required
• Request, from the member, a high resolution facial photograph and issue ID cards
• Liaise with the treasurer and trustees in regards to membership numbers
• Analysis of membership levels by category, highlighting trends or issues to the trustees and any recommended actions
• Filing membership and setting up folders in invu
• Organsing Mailouts
• Uploading members details on the organisations website
• Mailing out the members magazine (quarterly)
• Preparing Power Points for members regional meetings, workshops and AGM
• Issuing confirmation and tickets for regional meetings, workshops and AGM
• Be responsible for stock replenishment
• Ensure compliance with the data protection act
• Design and develop welcome packs and promotional material for new members
• Promoting and increasing the number of memberships
• Issuing Examination certificates
• Exam schedules (hotels , flights etc)
Liaison with
• Members, trustees, treasurer and CEO
Skills Required
• Knowledge of Microsoft, excel, Power Point
• Knowledge of Access database preferable but not mandatory
• Professional telephone manner and communication skills both written and verbal
• Capacity to work without supervision and under pressure
To ensure we get the right person and both parties are happy with the role, provisionally we ask that the candidate undertake one week as a volunteer after successful interview. During that week we will train the candidate and after the one week will be on a paid basis.
