We are looking for a well presented, amenable, reliable and efficient person to provide a high-class professional reception and general administrative service to our private clinic based in Central London, to ensure efficient and smooth workflow practice.
Previous experience in the hospitality, leisure or private healthcare industries is desirable. You will need to be a self-starter and able to work in a small office environment with a high degree of flexibility and excellent computer skills. As the job involves frequent interaction with patients, you will need to have excellent people skills and a high degree of empathy and discretion. You will act as the first point of contact for patients and need to portray the clinic in the best possible light.
Similarly, you will need to maintain vigilance to ensure that patient confidentiality is maintained at all times. Attention to detail will be of paramount importance in this role, as will your ability to work without immediate supervision or support in a pressured environment.
This is a permanent part time position of 21 hours per week. You will be required to work either an early (7.30 - 15.30) middle (9.00 - 17.00) or late (12.00 - 20.00) shift with a one hour unpaid lunch break on Mondays, Thursday and Fridays, and to undertake additional weekend shifts on an overtime basis. You may also be required to work additional shifts to help cover when other staff are on annual leave.
The salary for this position is £12,600 per annum based on a 21 hour week – plus discretionary quarterly bonus and generous overtime.
Principle Duties:
1. To be flexible in working practice and to participate in the shift system which enables the service to be operational 8am to 8pm Monday to Sunday.
2. To undertake a comprehensive range of administrative duties.
3. To understand and comprehensively use the electronic diary / clinic management software.
4. To handle all enquiries into the clinic and refer them to the appropriate person if necessary.
5. To deal with patients in a calm professional manner at all times, allay patients’ fears and promote confidence.
6. To welcome and receive patients and other visitors to the clinic in a professional and courteous manner.
7. To liaise and communicate with consultants and their secretaries in a courteous manner, and to answer any and all enquiries relating to the services offered.
8. To maintain at all times the highest level of discretion and confidentiality concerning patient information, in accordance with the Data Protection regulations.
9. To check insurance cover/payment details, generate invoices, charge patients and be responsible for transfer of funds to the clinic’s secure area.
10. To be familiar with the clinic's policies and procedures.
11. To be familiar with and ensure that the clinic’s policies relating to Fire, Risk Management and the Health and Safety Act are adhered to at all times and to attend mandatory updates.
12. To maintain the highest standards of the clinic by ensuring qualitative objectives are met.
13. To assist all clinic staff in carrying out department audits to reduce administration error and improve group performance as a whole.
14. To help maintain accurate administration procedures to contribute towards the development of improved systems.
15. Any other duties commensurate with the grade of the post or at the request of the Line Manager.
