An established Mayfair gallery specializing in ancient art is looking for a Junior Personal and Administrative assistant who can start immediately. The role will involve:
Providing the highest level of personal support to the directors.
Managing the directors' diaries, as well as scheduling gallery meeting with clients, experts, auction houses, etc.
Organizing business trips and itineraries, including booking flights and hotels.
Answering calls and directing them to the correct person, as well as taking and delivering messages.
Welcoming all guests and clients in a polite and professional manner.
General office admin such as raising invoices and document filing.
Liaising with clients and suppliers.
Overseeing office supplies, and making all purchases for stationary, books, equipment, etc. When required.
Organizing lunch, including ordering/collecting food, table setting and cleaning after dining.
Preparing beverages for clients.
Keeping the showroom, office and kitchen areas clean and tidy, including washing dishes, hoovering, wiping stands and dusting art works.
Assisting with deliveries, collections and shipping, including packing/unpacking, hand-delivering objects to clients, auction houses, etc.
Requirements:
Excellent English and communication skills.
Excellent organisational skills and the ability to multitask.
Highly proficient in Word and Excel.
Neatly turned out and presentable with excellent customer service skills.
An ability to work in a small, close-knit team.
This is a multi-tasking role in a small gallery environment and a wonderful opportunity to acquire new skills and gain knowledge of ancient artefacts. You will be part of a welcoming atmosphere, and play an important role within the business.
Job Type: Full-time, subject to trial period.
