Job description

Relationship

Reports directly to the Executive Housekeeper or her delegates.

Provides supervision to the Housekeeping personnel.

Interacts with individuals, outside the Hotel including, but not limited to, clients, government officials, competitors and other members of the local community.

Co-operates, co-ordinates functions and activities with other department as required.

Duties and responsibilities

Prepares attendance records in line with the standard lay down in the service standard manual.

Submits to the payroll department overtime, time off, time owed, absenteeism o the standard lay down in the service standard manual.

Ensures that the monthly budget allocation is in line and check the situation with housekeeping department on a daily basis.

Maintains and update employee’s files to include:

Disciplinary records
Vacation forms
Attendance forms
Absenteeism and letter of recommendation from guest.

Types for housekeeping department as required.

Assists housekeeping department with inventory and ordering of supplies.

Assists with telephones answering and message taking in a professional manner to the standard laid down in the service standard manual.

Handles all incoming and outgoing correspondence to the agreed standard.

Ensure that responsibility for maintenance is follow up and correct request forms.

Maintains stationary supplies and requisite guest supplies for housekeeping office.

Reports damages and loss of linen to Executive Housekeeper.

Assists in inventory taking.

Receives and stores Hotel and F and B linen according to established procedures.

Maintains records for new and discarded linen.

Maintains records for the room attendants’ productivity on Opera System on regular basis.

Maintains adequate supplies of all housekeeping master copies.

Maintains training records and liaise between staff and training department.

Makes store requisitions, collect store items on weekly and deliver to linen room.

Ensures that all reporting staff maintain a high standard of personal hygiene and grooming at all times.

Ensures that designated uniforms are worn well pressed and in good state of repair and those names badges are worn at all times.

Ensures that Uniform Inventory is recorded and always up to date.

Ensure that Lost and Found procedures and records are properly implemented and items are stored in safe place.

Ensures that all Master Keys, Floor Keys, and HK Store Keys are safe and inventory properly recorded.

Prepares Flower Request Form for VIP arrivals and assign it to HK Florist.

Assists the Executive Housekeeper in maintaining and updating the departmental service standard manual.

Establish and maintain a filing system and keep updated files for: management information, purchasing system and as directed by the Executive Housekeeper.

Assists the Executive Housekeeper in regularly monitoring staff performance.

Ensure good knowledge of all hotel facilities and be able to answer guest questions in a quick, polite and helpful manner.

Handles any guest complaints or problems promptly and to ensure that all resolved/ unresolved incidents are reported to the Executive Housekeeper.

Ensures company, hotel and statutory rules, regulations and policies are adhered.

Demonstrates a working knowledge of fire prevention and to ensure that staff follow the hotel evacuation procedures on hearing the alarm.

Provide security guidelines with respect to guest, staff and hotel property/welfare and to report suspicious circumstances to the Executive Housekeeper.

Ensures area is maintained in a safe, hygienic and presentable state and to report any damage to furniture, fittings and equipment to the Executive Housekeeper.

Communicates positively with staff, colleagues and the Executive Housekeeper to ensure effective team  work and high morale.

Attends meetings and training sessions, courses beneficial to the department.

Assists the Executive Housekeeper with the orientation of new members of staff and in roistering staff effectively.

Complies with Hotel’s health, safety and hygiene policy, perform related duties and special projects as assigned.

Effectively supervise the departmental operation whilst on duty.

Deputises for Executive Housekeeper in his or her absence.

Follows all procedures set up for the protection of the environment within the hotel.

Carries out any reasonable tasks requested by the management.
