We are a small vibrant language school near Elephant and Castle and are in need for a proactive enthusiastic receptionist and administrator to help run the school. You will be the heart of the business greeting people face to face as well as running things from the background too.
Job Purpose: This is a vital position at the Centre as the Reception/Administrator is key to both clients and staff. The Receptionist/Administrator is responsible for reception duties, incoming call answering and general office duties.
Responsibilities:
• Work as part of the Reception/Admin team, where all members support each other and share the workload as necessary. The atmosphere in Reception should be helpful, professional, welcoming and friendly
• Responsible for general reception/office cleaning.
• Answer the telephone within three rings in a pleasant and professional manner.
• Transfer calls quickly to the appropriate person and take clear messages with all the relevant information if that person is not available
• Deal with enquiries in reception and maintain a clean, tidy environment in the reception area; ensure leaflet racks are well stocked at all times.
• Provide an efficient Reception service, often working on own initiative, carrying out administration duties to a high standard. Accurate and speed of work is essential. Prioritising workload to meet deadlines requested by both staff and clients
• To ensure cover is provided in Reception at all required times
• Recording Accident Report Forms on Computer
• Take delivery of stationery orders from suppliers, monthly stock take of stationery supplies
• Responsible for outgoing mail, posting and recording and incoming mail when required.
• Responsible for processing deliveries, handling and distributing faxes
• Ensure EFL class folders are up-to-date and remind teachers of keeping all documents in it up-to-date
• Assist Academic Manager and Chief Administrator with the daily activities of the School
• Provide support to teachers with resources and materials as and when necessary
• Be responsible for printing student ID cards
• Ensure sufficient information is given to prospective students
• Be responsible for placing students into appropriate classes / levels and their induction
• To carry out other appropriate duties as requested by the Director or other senior staff.
