Full Time Medical Secretary in Central London

Specialist medical practice based on Harley Street seeking an administrative assistant/medical secretary on a permanent full-time basis. Part-time is also an option, if preferred. Kindly state whether you are looking for full- or part-time in your cover letter.

This post will include holiday and emergency/illness cover for other members of the admin team.

The ideal candidate will be intelligent, bubbly, reliable, have impeccable grammar, confident phone manner, the ability to quickly and efficiently multitask during busy clinics, and project professionalism at all times. Previous medical experience preferred but not strictly necessary. We are very happy to train the right person, and are looking for a dynamic personality to fit our diverse team.

You will have pre-planned shifts of 8 1/2 hours between the hours of  approximately 10am-6.30pm, Monday-Friday. There are no weekends involved, and no early morning starts.

There is some flexibility with hours, though we would give preference to a candidate who could work the hours listed. You will be expected to assist with cross-cover when colleagues are on holiday within regular office hours, which are Monday-Friday 9am-5:30pm, excluding bank holidays.

Duties:

Answering and transferring calls, responding to voice mail and email promptly.

Scheduling scans and explaining scan procedures, contraindications, and prep. Meeting patients to go over prep instructions. Posting medication. Occasionally making runs in the Harley Street/Marylebone High Street area to drop off or pick up scan discs or urgent post.

Diary management (Midex Pro and Qinec).

Proofreading and sending medical reports (Biotronics and Microsoft Word).

Advanced proficiency with Microsoft suite (Outlook, Word in particular).

Liaising with scanning centres, billing teams, consultants’ secretaries, and consultants.

We are looking for:

Enthusiasm, positively, and intelligence—this is a role that’s rarely Rote and will require you to pay attention to what you’re doing at each stage.

Impeccable phone manner and ability to communicate across a diverse patient and consultant demographic.

Meticulous attention to detail and ability to stay engaged through tasks until completion while multitasking.

Quick typing speed and accuracy. You will not normally need to take dictations, but the speed of our typical working day requires sight typing and high WPM rate.

Good judgement, adaptability, and the ability to maintain strict confidentiality.

Willingness to go ‘above and beyond’ to ensure an excellent experience for patients and consultants.

Previous medical experience preferred, but a willingness to learn -- and to continue developing your skills -- is critical. We will expect you to pick up relevant medical vocabulary and knowledge and will support you through this process.

Ability to prioritise/triage tasks during busy periods.

Languages a plus.

Must have NI number and  proof of right to work with indefinite leave to remain in the UK. We will ask that you complete a CRB check.
