As our Franchise Operations Coordinator you will support all Vitality Franchises to ensure they can run effectively and improve efficiency, whilst being the main operational point of contact for the Franchise Directors and their teams. You will also coordinate the set up and closure of franchise businesses to a set deadline. Proactively and efficiently manage the flow of work and priorities within the Franchise channel.
Responsibilities as our Franchise Operations Coordinator include:
- Coordinate all new franchise starters, ensuring they are correctly set up with systems and hardware, whilst maintaining accurate personnel records.
- Ensure that all leavers have had equipment returned, system access has been revoked and where applicable charged for damaged equipment.
- Report franchise headcount on a monthly basis, ensuring accurate and up to date information.
- Manage and own the process of creating new Franchises and build relationship with new Franchise Director to help guide them through setting up their business.
- Manage the process of closing or the movement of a Franchise and work with incumbent FD to ensure a smooth exit from the business adhering to compliance guidelines.
- Attend franchise site visits to ensure full understanding and knowledge,  logging any issues and feedback received and where necessary put forward recommendations on how these issues can be resolved.
- Manage franchise private health scheme and act as secretary, ensuring new members are joined and billed effectively.
- Manage monthly expense returns, ensuring a compliant process and sign off in time with monthly guidelines.
- Send out franchise communications and key updates as required.
- Work with Regional Sales Directors and Facilities Manager to coordinate franchise offices.
- Build good working relationships with all relevant business areas (internal and external)
To become our Franchise Operations Coordinator, you will have the below skills and experience:
Essential
- Minimum 12 months experience in a coordinator/administration role.
- Working knowledge of Microsoft Office especially Excel, Outlook and Power Point.
- Grace C or higher in GCSE Maths and English.
- Effective verbal and written communicator.
- Highly organised
- Great relationship manager, professional manner and desire to learn.
- Able to prioritise workload and work to deadlines.
- Excellent interpersonal skills with the ability to interact professionally with a diverse group.
- Diplomacy and tact in dealing with business-sensitive information.
- Able to work as part of a team
- Enthusiasm and positive attitude to work.
- Attention to detail
- experience of taking ownership of projects or key tasks.
- Adherence to the Vitality values, and all compliance policies.
- Taking on new challenges at short notice.
- Self-motivated
Desirable
- experience working with projects and to set timelines.

- Educated to a degree level
- experience within a regulated environment.
