Executive PA (Temporary)
• 9am to 6pm
• £20 - £25 per hour
Megnet Ltd exports digital network products and accessories to customers in Europe the Middle East and Africa. We are recruiting for a temporary Executive PA to join our firm based in Mortlake.
The Role/Duties
Reporting to the CEO the Executive PA will ensure that business administration and the day to day office requirements are maintained, while providing support to the Management Team and improving operating efficiencies across the business.
Role objectives include: monitoring, reporting and progressing the delivery of key tasks and projects across business operations. Office administration and monitoring progress and providing support to members of the management team.
The Executive PA will also be responsible for the company Human Resources function working in association with an external agency.
Main Responsibilities
Executive PA to the CEO
• Email/Inbox management - assisting the CEO with inbox (Windows Outlook) management and responding to commercial enquiries. Helping to progress sales opportunities through the sales process and providing order details (tracking/invoice/delivery).
• Helping to plan, research and deliver agreed business projects.
• Prioritising and handling administration.
• Organising and maintaining diaries and making appointments.
• Arranging travel and accommodation.
Management Team Monitoring and Support
• As directed by the CEO, help to performance manage the company management team. Monitor and report individual activity against agreed company objectives.
• Delivering support to the company management team - collaborate with managers to help deliver projects and agreed tasks on time and budget.
• Team workflow monitoring and reporting.
• Project management software administration and support.
Human Resources:
• Maintain Human Resources Files on People Human Resources software
• Oversee the Performance Management processes - initiation, tracking, meetings, following up with Managers and ensuring documentation is completed and returned.
• Recruitment and induction process management: Oversee the recruitment process from Job Requisition to interview schedules, rejections, offer letters and contracts.
• Liaise with Recruitment Agencies. Place Internet adverts and manage the recruitment of internet sites. Prepare induction schedule and programme for new starters.
• Maintain the Career Pages of the Company’s website - posting new jobs and updating the careers information.
• Respond to Human Resources and H and S queries from Managers and Staff. Attend meetings/disciplinaries with managers, where required, to take minutes etc. Escalate issues appropriately to the external Human Resources consultant.
• Maintain Human Resources records: training, sickness, holidays, etc for all staff. Indicate to Managers if there are any issues or trends
• Liaise with and manage the interface with the external Human Resources Consultant on a regular basis
Business processes:
• Develop business processes and document procedures
Other:
• Book and prepare meeting rooms for customers, lunches, etc
• Facilities management - liaison and organisation of requests from the services office related to all facilities (chairs, aircon, maintenance, etc)
• Plan and organise social and company event
