Executive PA / Office and Facilities Manager Role Summary:Reporting directly to the CEO, the Executive PA / Office and Facilities Manager will provide a high level of support to the CEO, the Group Head of Operations and the Finance Director.The Executive PA / Office and Facilities Manager will also be accountable for ensuring the London office is run smoothly and efficiently.As Executive PA / Office and Facilities Manager you will also be responsible for the following:Key Responsibilities and Accountabilities:Executive Assistant* Timely and efficient diary management to include co-ordinating diaries, meetings and conference calls* Organising national and international travel, including meeting and transport arrangements, confirming accommodation and producing detailed itineraries* Email and inbox management for the CEO and the Group Head of Operations* Providing a wide range of administrative support to include the production of correspondence, reports, presentations and documents of a high quality* Processing and submitting expenses for the CEO and Group Head of Operations* Liaising with non-executive directors as necessary* Organising regular meetings such as board, senior management team and operations committee meetings* Collating SMT packs, attending SMT meeting and taking minutes* Co-ordinating post and deliveries - internal and external Office and Facilities Manager* Ensuring office and kitchen supplies are maintained - re-tendering supplier contracts as necessary* Co-ordination of small works/office moves* Budget ownership and control* Liaising with building management* Responsible for complying with the Health and Safety policy, recording accidents, updating risk assessments, organising desk assessments and ensuring Fire Warden and First Aider quotas and required certification are up to date Risk Management and compliance* Accountable for the effective management of owned risks* Assist in identifying and implementing processes to control risks* Be fully conversant and compliant with the Company's Health and Safety policy and procedures* Ensure that all team members fully understand and comply with the Company's Health and Safety policy and procedures* Where self or a team member identifies a potential Health and Safety risk, escalate this to the Head of Health and Safety immediately* Comply with all relevant company policies and procedures at all times Qualification / experience Requirements:* Several years experience of providing PA support to senior executives* Fluent written and spoken English. Other languages, particularly Dutch would be beneficial but not essential* IOSH certificate Competencies:* Ability to anticipate and pre-empt the requirements of the CEO and the Group Head of Operations, with an ability to manage their time and commitments effectively* Ability to work independently, with minimal supervision* Use appropriate judgement when responding to the needs of senior executives both internally and externally* Demonstrates personal accountability, ownership and an ability to work under pressure* Has an excellent telephone manner and interpersonal skills* Excellent spoken and written communication skills* Team player who deals effectively with colleagues and is able to establish good working relationships across the firm* Ability to prioritise workload and meet deadlines* Must be organised, structured and have a high level of attention to detail* Must be computer literate, including a detailed knowledge of Microsoft Office - Outlook, Excel, Word and Power point.* Hands on, with a cheerful and positive attitude, having a willingness to help out wherever necessary* Flexible approach to work as from time to time early starts and late finishes may be necessary Company Overview:The Company is a chemical company manufacturing acetylated solid wood and wood elements.
