The role
Reporting to the senior management team and part of the Operations team structure, the EA and Office Manager will be responsible for day-to-day diary management of ever-changing schedules, overseeing the smooth operations of the office as well as working closely with Human Resources and the finance department. Hennik is a small company and you will be expected to ‘Muck in’ where needed and adopt a flexible working approach. If you enjoy a fast-paced environment where no two days are the same, working with a team who share the ethos, ‘work hard, play hard’ then this is the role for you.
Core responsibilities:
• Controlling all aspects of diary management, monitoring inboxes, email enquiries and first point of contact on telephone
• Organising travel and accommodation for directors as well across the business for other members of staff
• Maintaining company filing and updating data using a bespoke company CRM system
• General bookkeeping, working closely with Human Resources handling sensitive and confidential information
• Processing all internal expense reports and supporting the finance department to reconcile account paperwork
• Manage and approve all purchases across the business and negotiating the best value for every purchase
• Monitoring and maintaining stock levels of stationary and office supplies, liaising with all external suppliers and managing company telephony system
• Managing all company post and arranging courier deliveries for regional and international mail
• Organising all staff internal events; including monthly board meetings, annual staff summer party, team away days, off site meetings and staff Christmas party
• Assisting with new staff inductions and ensuring everything is in place for the arrival
• Booking meeting rooms, preparing refreshments for clients and arranging working lunches as and when required
• Ad-hoc duties across the business when needed required and general upkeep of office
The ideal candidate:
• Ability to multi task, work to deadlines and remain calm under pressure
• Team player that is not precious
• Bubbly, friendly and personable
• Confident telephone manner and comfortable liaising with individuals across all levels
• Excellent attention to detail
• Excellent negotiating skills
• experience in producing presentations and proof reading documentation
• A fast learner who uses initiative appropriately and effectively
• Self-motivated and entirely proactive
• Tech savvy and an amateur computer whiz (desirable)
• Intermediate/advanced MS Office skills including Word, Excel, Power Point (knowledge of Prezi is a bonus)
Desirable (but not essential)
• Account Management experience from a sales background
• Sales Co-ordination experience
• experience in using social media
• Bookkeeping or experience in using Xero
You will no doubt be a ‘telepath’ – like all good PAs – but your skills will lie in staying calm under pressure, being flexible and adaptable in your work approach, meaning you don’t mind working hard, working late occasionally and being available out of office hours infrequently. More than the experience we are looking for an individual with the right attitude and attributions to fit in seamlessly with the team.
You must be available immediately as a handover period is required with the current PA and Office Manager.
