This is a great opportunity to join with a well known charity in the centre of London.

This charity works with the Muslim community and is a very large organisation.

Location - Whitechapel

Salary - £36,000 - £38,000

Main Responsibilities

Develop a thorough understanding of work areas in order to ensure strategic linkages/appropriate dissemination of information/assignment of actions.
Develop and maintain effective communication and liaison with high-end donors, Parliamentarians, Diplomats, VIPs, Government officials, Executives of partner organisations and Departments/Country Offices.
Develop, maintain and review an effective ‘bring up’ system to fully brief and prepare the CEO ahead of meetings/events.
Assist the CEO with the preparation of Power Point presentations, speeches and projects as requested and to track work across the charity to ensure the nominated Manger undertakes action within the agreed timeframe.
Provide general administrative services including diary management, booking meetings, planning events, organising travel and preparing travel itineraries.
Review proposals and reports (both financial and narrative) submitted to the CEO and Trustees to ensure these meet our due diligence policy and follow good practice.
Manage the CEO’s Office Budget preparing forecasts, purchase orders and logging spend.
Coordinate and collate departmental reports and documentation for Trustees meetings and other meetings with outside partners. To write the executive summary summarising their contents.
Attend, take and circulate minutes for the CEO’s meetings and any other relevant meetings.
Read, research, summarise documents, reports and articles, and advise the CEO of current sector developments, etc.
Act as the initial point of contact for the CEO’s Office.
Prioritise the CEO’s paper and electronic correspondence and, where required, to draft responses on behalf of the CEO.
Develop, maintain and review the CEO’s admin systems to achieve efficiency.
Manage the absence management software (MAHRS) on behalf of the CEO for the Senior Leadership Team.
Able to work out of hours occasionally when required.
Maintain and store all records in line with MA document management and IT policies.
Comply with all policies, procedures, legal and regulatory requirements.
Any other duties commensurate with the accountabilities of the post.

experience

Substantial experience in a PA or secretarial role.
Proven experience supporting senior executives.
Data protection, GDPR and confidentiality.
Shorthand
Flexible, adaptable and resilient
Natural planner
Able to digest complex information and provide oral and written summaries.
Friendly, approachable and confident
Drafting skills
