The role:
We are looking for an enthusiastic, organised and talented individual to join our existing events team. This is a support role for the Senior Events Managers and Events Co-ordinators across the group. This is the ideal role for a candidate who is passionate about joining the events industry who has previous experience in bars/restaurants/hotels. This is a busy role but the perfect starting point to learn or develop further in admin and events. Within this role you will be responsible for completing admin tasks for a number of different venues remotely and multi-tasking on projects.

Duties and responsibilities
EVENTS AND RESERVATIONS
Work with Senior Events Manager and Events Co-coordinator to handle daily admin tasks
Work with chefs and all managers on menus and wine lists for events
Send follow up emails and feedback to all party bookers.
Update the sales tracker and forecast using the weekly function forecaster
Assisting the reservations team with taking daily reservations for both venues.
Collect and process all comment cards as per procedures
Respond to online reviews and social media comments
Ensure both kitchens have the correct events sheets and up to date information
Circulate event feedback on a weekly basis
Send out event sheets to hotel and teams
Large table and bar bookings – book, send booking forms and confirm. Note any special requirements in notes on OT.
Assist with central reservations calls when the business requires
DATABASE
Manage the Opentable and Collins reservations system and ensure correct information is entered for all bookings (party and table reservations)
Ensure that the customer database is up to date with exact email addresses and codes for each customer
Update the database with information from business card drop, vouchers and other sources of details.
MARKETING
Maintain the websites including updating menus, wine lists, forthcoming/seasonal events, contact details, opening times.
Keep reviews up to date (incl getting party organisers to post feedback along with other Events Managers).
Upload specials and menus on website
Check all event packs are complete and plenty printed in each location
NOTES
You will also need to help out at certain events during evenings and weekends to make sure that everything is set up properly and that the event runs smoothly.
