Purpose and Scope Overview
To enable the business to thrive by supporting the ECO Contracts Manager and ECO Team Leader in achieving and delivering ECO Contracts. To always act in the best interest of the business and customers. Provide support and guidance to PAS2030 Installers in submitting completed job files to the Energy Companies.
Broad Statement of Duties
To perform accurate and detailed checks on submissions that will be submitted to the energy company. Provide detailed feedback on any amendments to installers and input data into the Ofgem spreadsheet. Responsible and accountable for the quality standards of jobs submitted to the energy company.
Relationship to Other Roles
To work alongside the seniors, the compliance and administration team to ensure customer, partner and installer satisfaction, cost efficiency and profitability of the business.
Overview of Tasks
Data input of fact find information and documentation onto the back office system.
Ensuring that the back office system records are completed to enable accurate management information and reporting.
Checking the evidence within the completed project folder to ensure all documents have been provided for submissions. Ensure all parts of the documentation have been completed correctly. Contacting the installer if more evidence is required or if any documentation requires amendments.
Keeping in constant communication with the installer to advise them on the progression of their completed project folder.
Compiling a batch of completed projects and adding all the information to an approved Ofgem spreadsheet. Checking the spreadsheet before submitting to the energy supplier to ensure the information inputted is correct to eliminate errors.
Respond to error reports.
Ensure installers project has been submitted to us within their deadline, and then ensuring we submit to the energy supplier within target.
Filing away submission checklist sheets.
Sending installers a breakdown of the progression of their allocated funding.
Scoring installers on their performance in regards to submissions.
Conducting customer satisfaction feedback on completed projects.
Answering phone calls from customer, installers, assessors, and energy suppliers.
Replying to emails in a prompt and professional manner.
Adhere to the Data Protection Act. Ensuring sensitive material is disposed of in the correct manner, and confidential information is not relayed to anyone who does not need of the information.
Maintaining professional and ethical standards in accordance with regulatory principles for business.
Sole contact for allocated Partners.
Responsible and accountable for meeting KPI’s.
Identify risks, assess them and ultimately aim to reduce the risk.
Ensure all documents are recorded and maintained in compliance with the energy company and our company standards.
Other Ad-hocs duties.
Objectives
Data input completed and not backlogged more than 2 working days in any period (holiday periods excepted).
Telephone answered within four rings during business hours.
Full co-operation with seniors in maintaining excellent customer service and accurate records.
compliance with internal procedures, record keeping and data security requirements.
Skills Required
Minimum 3 Years’ experience in an administrative role.
experience in understanding compliance and adhering to regulations.
Excellent interpersonal and communication skills at all levels, and in a professional manner – written and verbal.
Customer Service experience, face to face and excellent telephone manner.
A high level of planning and organisational skills.
Attention to detail, able to prioritise workload, able to work under pressure, multi-task and problem solve.
Able to work within a team, and independently.
Intermediate IT skills and strong knowledge and experience with Microsoft Office.
Ability to liaise confidently with senior management.
Good oral and written English.
Good general level of education including GCSE A-C in Maths and English.
Good work ethics.
Understand and adhere to quality Assurances.
Commitment to deliver on time and within deadlines.
Easily adaptive to change in a fast-paced business environment.
