A niche Investment Management Company based in the heart of Covent Garden is seeking a friendly, bright and professionally presented candidate to be based on the Reception. As first point of contact for the office you will be responsible for managing the reception area, dealing with enquiries whether in person or by telephone, as well as being additional support for our Business Support team.
The successful candidate will be smartly presented, attentive, punctual, calm under pressure, a good communicator and be able to work on set tasks as well as using their own initiative. They should be proficient in Word and Excel, efficient, accurate and happy to learn and take on new tasks. A self-starter with the ability to follow up on outstanding matters independently with strong communication skills and high attention to detail.
Principal Tasks and Accountabilities
Reception
Operation of switchboard, field enquiries, introduce callers and pass on messages.
Meet and greet visitors (clients, potential clients and third party suppliers) announcing their arrival.
Maintain a clean and tidy Reception area together with up-to-date newspapers and collateral material.
Organising of post and couriers - maintenance of franking machine.
Booking of couriers and taxis for the Partnership - monitor costs.
Receipt and distribution of post both in and outbound.
Meeting Rooms
Booking of meeting rooms and maintenance of booking room scheduling.
Set up and clearing of meeting rooms with refreshments/catering, maintaining tidiness throughout the day including ad hoc morning meetings.
Set up of Video Conferencing calls as required.
Admin
Use MS Office packages to prepare documents as required.
Maintain and general stock take for stationery and kitchen supplies.
Store and update any communal documents on the shared drive.
Send out general office memos/emails as instructed by Manager.
Announce notification of sickness to all staff.
Printing, scanning and filing as required.
Adhoc requests as requested
Qualifications Skills and experience
Proficient in all MS Office, particularly Word, Excel and Outlook.
Previous experience as a Receptionist in a small office is essential.
Previous experience of basic secretarial and administration duties.
Well organised, able to multi task and prioritise work required by the team.
GCSE English and GCSE Maths.
experience of multi-tasking and also able to work on their own iniative.
The job-holder will be routine-orientated, methodical, diplomatic and accommodating by nature.
You must have a stable CV and have worked on reception within banking, a corporate law firm, accountancy firm or investment company.
Hours: 08:30 - 17:00 Monday - Friday (with the occasional 8am start 10 times a year)
Salary: up to £30,000 a year + 5-10% yearly bonus + 10% pension + private healthcare.
25 Days holiday increasing to 28 days after 3 years.
Must be available to start within the next 3 weeks. Interviews will be taking place on 13th, 14th, 15th and 19th Feburary.
