Profile
This post requires an individual who is comfortable and competent with dealing with procedures, databases and administration processes. The successful candidate will need to use their excellent attention to detail in all aspects of their work from data entry to spotting irregularities or errors, they also must be pro-active and solution orientated as they will need to take a hands on approach to investigating any queries and finding the source of any problems. Their ability to communicate concisely is extremely important as this person will act as a source of information for their team and the wider business. The successful person must be able to work in a fast paced non-corporate and informal work hard play hard environment.
Purpose of post
Our Buying Administrator will be expected to support our purchasing department with an effective administration service as well as acting as a point of contact for the majority of queries. The majority of their work will be run routine processes and deal with any ad-hoc tasks given to them. They will be expected to learn and apply information quickly and maintain through knowledge of all systems and processes.
Duties
·         Setting up new product lines.
·         Raising and sending purchase orders on a daily basis.
·         Daily contact with suppliers to manage all aspects of incoming products.
·         Support and arranging and planning incoming shipments.
·         Running of general reports for the use for the purchasing team.
·         Monitoring stock on new release lines.
·         Dealing with import Documentation.
·         Chasing relevant paperwork needed for accounts – When required.
·         Keeping the sales team  updated of incoming and newly arrived products.
·         Applicant may be requested to support other member of purchasing team.
·         Daily point of contact for Sales team answering queries and resolving issues and cover the Sales Administrators.
·         Warehouse visit on regular basis for stock queries and stock inspection.
·         Support the purchasing team – collection of stock request by sales team.
·         Chasing product information from suppliers.

Person Specification
experience and Qualifications
·         6 Months + experience in an administration type role.
·         experience in a similar position would be an advantage but not essential.
·         experience of using a database and analysing reports.
·         experience of using Excel, Outlook and Word (Send emails, book appointments, use excel formulas, sort, sum, put together basic spreadsheets, write and format word documents)
·         GCSEs (or equivalent) in English and Maths at or above grade C. A levels or further education in analytical subjects would be an advantage.
