JOB DESCRIPTION
Job Title: Buying Administration Assistant
Job Purpose: To maintain data accuracy and cost integrity for the Planet Organic EPOS system. To support the buying team in tasks as determined by line manager.
Responsible to: Buyer
Principal Accountabilities
Daily
• Consolidating daily kitchen production requirements
• Updating the daily bulletin through the day and sending it out daily
• Checking invoice matching system for pricing discrepancies and resolving
• Support to the stores and buying team with operational issues such as resolving non-scanning lines or database issues.
• Working along with finance and IT team to maintain functioning product database and EPOS system
Weekly
• Food production orders and shipments summary sheet for previous and current week
• Weekly promo sales chart
• Seasonal sales tracking
• Supplier out of stock reports
• Listing new products onto the product database and delisting old ones
• Product price changes price changes
• Updating Fruit and Veg range and pricing on the system
Monthly
• Monthly sales reports to key suppliers
• Set up monthly promotions
• Claiming credit from suppliers for retro promotions.
• Tracking margins and highlighting any anomalies to the buyers
Requirements
• Excellent numeracy and strong IT skills, particularly on Excel
• Attention to detail and ability to self-check work.
