Assistant to Property Director Job

This very friendly and successful Property business are seeking an Assistant to work for a very busy Property Director.  This is a privately owned business.
You will have the opportunity of learning the business and all that it entails with running a property portfolio.
Dealing with new tenancies and renewals. Sending out notifications of tenants of gas certificate appointments, fire alarm testing, ad hoc work in buildings and details of letters received from managing agents.
Gas Certificates - scanning all certificates, attaching gas certificates to relevant property files and sending out all documentation.
Maintenance of spreadsheet and Access database if possible, but knowledge of CRM or databases essential.  Recording dates for co2 / smoke alarms, tenants details / visas etc.
Registering tenant deposits online ad hoc filing and scanning.
Printing all invoices that have been paid, typing reports, shredding unwanted paperwork, booking Energy Performance Certificate Inspections.
Liaising with Maintenance Manager, recording all Excel spreadsheet for preparation of end of year accounts.  Calling utility providers.

Excel and Access for a similar database essential, Office 365, outlook emails and Cute PDF if possible.
Booking restaurants, appointments and Theatre /concert tickets, collecting various bits of shopping, Ocado shop online and Amazon and other returns of packages.  Stationery orders and other ad hoc duties.
Excellent written skills and a good telephone manner.
experience of property management would be ideal not essential.
This is a small office so the ability to Muck in vital. 10- 4 pm 2 days a week and then the possibility of increasing to 3 days a week.
