We are currently looking for a administrator to join our busy team. The role presents a great opportunity with excellent prospects for career progression within our ever expanding friendly team.
The main duties of the role will include:
Taking calls from clients and keeping track of director's diaries
Liaising with tenant’s tenancy issues, property management issues etc.
Use of specialist software
Preparation of standard letters notices and contracts.
Monitor move out process through to deposit return
Assistance with property management queries
Drawing tenancy agreement, negotiate with the landlord and the tenant
Phone management
Chasing payment
Prepare petty cash fund report for company director
Organise all properties files and preparing display cards to be exhibited in the office window.
Input property/contract details into company database.
In charge of IT and stationary facilities of office
Ensure all tenancy records are complete and up to date
Tenant referencing
Provide support to the Directors
Answering telephone calls and dealing with email enquiries
General office admin duties
Tenancy contract preparation
Organise and maintain the office filing system
Working with the finance team to ensure that our invoicing and receipts systems are up to date
Imputing data on the in-house database system
Chase late rent payments, by phone and process payments
Manage annual rent reviews and renewals
The position is extremely varied you must have an excellent well-spoken phone manner with admin experience. To possess strong communication and people skills are essential with the ability to Mediate, co-ordinate and resolve day to day issues in a polite and positive manner dealing with landlords and tenants. Also a vital skill needed is attention to detail. Trustworthy and good time management, organizational skills and customer service approach are key elements. The ideal candidate must be IT literate. You must also be flexible to cover other colleague’s position/roles as and when required. A proven track record of administration roles is an advantage. Must have GCSE’s and A‘levels or relevant qualification.
Salary £12,000 - £18,000 depending on experience and qualifications.
