An opportunity has become available for a part time Administrator with an established Property Investment and Development company established in 1975 based in Loughton, Essex (5 minutes from Loughton Central Line Station). This is an excellent opportunity to work with a well respected company. You must be a team player. We own and manage our own portfolio which is varied and which includes serviced offices, residential ASTs, retail and investment properties. You will be part of a small and very busy team working in an admin heavy role.
The role will consist of the following duties;
• Entering Payments and then marking as ‘paid’ on Quick Books
• Preparing list of payments to be paid to go through with management
• Setting up payments online
• Checking Agent Commission Invoices for Offices and setting up payment
• Checking Council Tax invoices are correct (advising council if incorrect) and setting up payment – entering on Quick Books
• Checking Rates Invoices for offices are correct (advising council if incorrect) and setting up payments - entering on Quick Books
• Checking Electricity and Gas Invoices are correct and entering onto Quick Books – raising disputes if something is incorrect and following through the dispute
• Checking Water Bills are correct and setting up payment, entering on Quick Books – raising disputes if something is incorrect and following through the dispute
• Preparing monthly and quarter invoice lists for management
• Raising monthly rent invoices, ground rent invoices and quarter invoices.
• Checking rents are in – chasing tenants if not.
• Preparing monthly arrears list for management
• Raising invoices for new tenants, and for yearly renewals.
• Petty cash reconciliation once a month
• Dealing with enquiries and telephone calls
• All other ad hoc tasks in support of the above or in line with the business/portfolio requirement.
Previous experience:
You will have a strong administrative background. You will be very well organised and presentable and will be able to prioritise your workload.
To be considered applicants must have an excellent telephone manner and have demonstrable office experience, computer typing and competence. You will need to be very experienced in the use of Microsoft World, Outlook and Excel.
