Project Administrator Junior Project Manager, Project Manage


Our client, a large Project Management and Consulting Firm specialising in the construction sector, have a permanent requirement for a Project Administrator/Junior Project Manager. The role will mainly be working alongside the Project Manager, dealing with routine administration and financial matters to assist the Project Manager generally and more importantly to leave him or her free to concentrate on those items that require particular expertise or experience. The main areas of responsibility fall into the categories below although additional requirements may be defined by the specific needs of a particular project:
General administration responsibilities:
* Diary management
* Create and maintain a suitable filing system including drawings
* Co-ordinate a meeting schedule for the Professional Team
* Compile the weekly progress report for the Client and attend and minute progress meetings with the Client
* Attend and minute Project Team meetings
* Monitor the issue and return of tender documentation
* Monitor the issue and return of contract documentation
* Provide general administrative support
The Project Administrator may assume responsibility for some of the smaller Direct Contracts under the overall supervision of the Project Manager for example, in the case of a fit-out or refurbishment project:
* New furniture/filing requirements
* Re-use/refurbishment of existing furniture/filing
* Planting
* Signage
* Vending equipment etc.
This will include discussion with the client to identify the brief, preparing a specification and issuing tenders, meeting with suitable suppliers/contractors, reviewing tender responses, preparing a tender report for the client, monitoring production (if necessary) and delivery/installation.
The Project Administrator will need an understanding of financial administration to include:
* Maintain financial records for professional fees, Direct Contracts or any other aspects of expenditure which come outside the control of the project Quantity Surveyor
* Check invoices against agreed quotations, budget and payment terms
* Liaise with the Client's accounts department regarding status of payments
* Update and issue regular financial reports as required
In addition to the above the role will also include compilation of, or research into, documentation relating to inspection/snagging, handover, maintenance or contractual claims as required.
Skills and Experience Required:
The successful applicant will be of a high calibre, working at a senior level, with a professional approach and the ability to handle the use of changing modern technology. This person will need the following skills and experience:
* Project experience is essential
* Construction background is essential as well as an ambition to work within a Project/construction environment
* A competent understanding of construction related acronyms is helpful
* Degree / A Levels or equivalent
* Intermediate to Advanced Word and Excel
* Energetic
* Good communication skills (at all levels)
* Attention to detail
* Flexibility
* Initiative
* Good at working to deadlines and under pressure
PLEASE NOTE this role will start out within our clients offices but the role with mainly be based onsite with our client's clients.
